Job Overview
Creation Communities Inc. is seeking a motivated and highly organized Project Coordinator – Land Development to join our Development team.
This role will support the planning, design, construction, and delivery of residential land development projects. The Project Coordinator will work closely yo coordinate with municipalities, civil engineering consultants, contractors, utility providers, builders, and internal departments throughout the development lifecycle.
This is an excellent opportunity for someone with a background in land development, civil engineering, construction, or urban planning who wants hands-on experience across all stages of residential community development.
Key Responsibilities
Land Development Project Coordination
- Assist with the coordination of residential land development projects from planning and design through construction, servicing, approvals, and completion.
- Maintain project schedules, milestone trackers, action-item lists, and key development deadlines.
- Coordinate project activities between municipalities, consultants, contractors, utility providers, builders, and internal departments.
- Attend development, engineering, construction, consultant, and scheduling meetings.
- Prepare and distribute meeting minutes, action items, project updates, and correspondence.
- Track outstanding project items and follow up with consultants, contractors, municipalities, and other stakeholders to ensure timely completion.
- Maintain organized project files, engineering drawings, reports, approvals, correspondence, contracts, and other development documentation.
- Assist with monthly project and community status reporting.
Engineering, Design & Municipal Approvals
- Coordinate with civil engineers, planners, surveyors, landscape architects, environmental consultants, and other project consultants.
- Assist with subdivision, Development Permit, engineering, servicing, and other municipal approval processes.
- Track municipal submissions, approvals, conditions, comments, and outstanding requirements.
- Coordinate consultant responses to municipal review comments and ensure required revisions are completed.
- Review and track engineering drawings, construction drawings, reports, and other consultant deliverables.
- Maintain current drawing sets and ensure appropriate document and revision control.
- Maintain approval and permit trackers for active development projects.
- Assist with coordinating required documentation for construction commencement and municipal approvals.
Construction & Servicing Coordination
- Coordination of land development construction, including earthworks, deep utilities, shallow utilities, roads, concrete, landscaping, and other subdivision infrastructure.
- Coordinate with contractors and consultants regarding construction schedules, site conditions, deficiencies, and outstanding work.
- Monitor project progress against schedules and identify items requiring follow-up.
- Assist with tracking deep utility repairs and coordinate required repairs with consultants and contractors.
- Coordinate third-party repairs and assist with preparing and tracking back charges and cost recoveries.
- Participate in site inspections, construction meetings, and seasonal development inspections.
- Assist with tracking construction deficiencies and ensuring outstanding items are addressed.
- Direct consultants, contractors, or field staff to investigate and address site conditions as required.
- Support project safety documentation, tracking, and reporting requirements.
Qualifications
- What You'll Bring
- 1–3 years of experience in land development, civil engineering, construction, municipal infrastructure, project coordination, urban planning, or a related field.
- Post-secondary education in Civil Engineering Technology, Civil Engineering, Construction Management, Urban Planning, Landscape Architecture, Land Development, Business, or a related discipline is preferred.
- An understanding of the residential land development process is considered a strong asset.
- Familiarity with subdivision construction including earthworks, underground utilities, shallow utilities, roads, concrete, grading, drainage, and landscaping is considered an asset.
- Familiarity with municipal development processes, engineering drawings, CCC/FAC processes, and subdivision approvals is considered an asset.
- Ability to read and understand civil engineering drawings and construction plans is considered an asset.
- Strong organizational skills with the ability to coordinate multiple projects, consultants, contractors, and deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to maintain accurate project documentation.
- Proactive approach to following up on outstanding items and resolving project issues.
- Ability to work effectively both independently and as part of a development team.
- Comfortable working in both an office environment and attending active construction and development sites.
- Proficiency with Microsoft Excel, Word, Outlook, and Teams.
- Experience with project management, construction management, accounting, GIS, or document management software is considered an asset.
- Valid driver's licence and ability to travel to development sites as required.
