Senior Administrative Assistant

3-Month Contract | Hybrid – Calgary, AB

Position Overview

Our client, a corporate accountnig & consulting firm, is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to provide administrative and operational support to senior leaders and Partners. This is a rapid-paced role requiring strong judgment, excellent communication skills, and the ability to manage multiple priorities while maintaining a high level of accuracy and professionalism.

The successful candidate will support day-to-day administrative operations, coordinate meetings and events, manage calendars and correspondence, assist with expenses and invoicing, and contribute to process improvements. This individual will work closely with leaders and key stakeholders across the organization and will be expected to operate with a high degree of independence and discretion.

This position reports to the Director, Quality & Operations and will work collaboratively with Partners and leaders in the Calgary office.

Contract Details

- Contract Length: 3 months, with potential for a short-term extension
- Start Date: ASAP
- Location: Calgary, AB
- Work Arrangement: Hybrid – typically 2 days per week in the Calgary office and 3 days working remotely
- Hours: 8-hour workday plus 1-hour unpaid lunch
- Core Hours: 8:00 AM – 4:00 PM MST
- Overtime: Occasional overtime may be required based on business needs, including additional hours anticipated during a major event taking place October 5–8

Key Responsibilities

- Prepare and format a variety of correspondence and business materials, including templates, documents, letters, reports, PowerPoint presentations, and Excel workbooks
- Review, edit, and modify documents and materials to ensure accuracy, consistency, and professionalism
- Research, compile, analyze, and summarize data and key information for leaders and stakeholders
- Schedule and coordinate meetings, events, travel arrangements, and other business activities
- Coordinate meeting agendas, presentations, and supporting materials




- Record and distribute meeting minutes, action items, and follow-ups as required
- Provide calendar and email management support to leaders
- Assist with invoicing and the preparation and submission of expense reports
- Support day-to-day team operations, including:
- Drafting and distributing team communications
- Coordinating employee onboarding and offboarding activities
- Maintaining distribution lists
- Reviewing time codes
- Reviewing and approving expense reports

- Maintain and update process documentation and procedures
- Identify opportunities to improve administrative processes and contribute ideas for greater efficiency
- Build and maintain strong working relationships with Partners, leaders, team members, and other key stakeholders
- Communicate professionally and proactively with internal and external stakeholders
- Work collaboratively with other administrative and operational team members
- Provide additional administrative and operational support as required
- Demonstrate flexibility to work overtime occasionally to meet business requirements

Qualifications & Experience

- 3+ years of experience in complex administrative, executive administrative, or business coordination roles
- Experience supporting senior leaders, executives, Partners, or multiple stakeholders is highly preferred
- Strong organizational and time-management skills, with the ability to manage competing priorities in a fast-paced and agile environment
- Excellent attention to detail and a strong commitment to accuracy
- Strong written and verbal communication skills
- Professional, reliable, and consistent approach to work
- Strong client service and relationship-building skills
- Ability to work independently while also collaborating effectively with a broader team
- Demonstrated discretion and professionalism when handling confidential or sensitive information
- Intermediate proficiency with Microsoft Office Suite, particularly:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Outlook
- Microsoft Teams

- Ability to adapt quickly to changing priorities and business requirements
