About the Role
We are seeking a Service Writer to join our fast-paced oilfield shop in Red Deer. Reporting to the Shop Foreman, this role coordinates maintenance and repair activities for our fleet of heavy-duty trucks and trailers. The Service Writer will serve as the key link between drivers, Operations, Dispatch, the maintenance team, and external vendors to help keep equipment safe, compliant, and available for field operations.
The schedule for this role will be Monday to Friday, from 6:30 a.m. to 5:00 p.m., with a 30-minute unpaid lunch. Hours worked over 10 hours in a day or 50 hours in a week are paid at time and a half.
The ideal candidate is organized, mechanically knowledgeable, comfortable balancing changing priorities, and able to communicate clearly with both internal teams and external vendors.
Key Responsibilities
· Receive maintenance requests from Operators
· Create, assign, update, and close work orders and upload into Samsara
· Work with the Shop Foreman and maintenance team to prioritize repairs and minimize equipment downtime
· Work with Dispatch to schedule preventative maintenance, inspections, CVIPs, and unscheduled repairs
· Track equipment status, repair progress, downtime, and return-to-service dates
· Coordinate work with external vendors, including obtaining quotes, scheduling repairs, and following up on completion
· Order parts and supplies and assist with parts inventory control
· Review parts, invoices, and other charges for accuracy before work orders are closed
· Work with Safety to maintain complete and accurate equipment files including work orders, inspection records, invoices, warranties,
and maintenance documentation
· Identify overdue maintenance, open deficiencies, and documentation gaps and follow up as required
· Support safe and compliant shop operations by following company policies, procedures, and safe work practices
· Maintain professional and respectful communication with workers, vendors, and other business contacts
· Assist other departments with administrative and operational tasks as needed
Qualifications & Experience
· Previous service writing, fleet maintenance, heavy-duty equipment, or oilfield experience is considered a strong asset
· Working knowledge of heavy-duty trucks, trailers, and mechanical repair processes is considered an asset
· Valid Class 5 driver’s licence with a clean abstract
· Robust organization, prioritization, and time-management skills
· Ability to coordinate multiple repairs and changing priorities in a fast-paced shop environment
· Strong attention to detail and ability to maintain accurate records
· Clear and professional verbal and written communication skills
· Comfortable working independently and collaborating with maintenance, Operations, Dispatch, Safety, Accounting, and external vendors
· Proficiency with computers and ability to learn Samsara and other company systems
· Willingness to obtain and maintain required safety tickets and training
· High level of professionalism, integrity, and confidentiality
