Job Summary
We are seeking a dynamic and organized Admin / Front Office & Showroom Coordinator to join our team! This energetic role is essential in creating a welcoming workplace for clients and visitors while ensuring smooth administrative operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to manage front desk responsibilities, coordinate showroom activities, and support overall office functions.

Duties
- Greet visitors, clients, and vendors with professionalism and enthusiasm, providing exceptional customer service at all times
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
- Own the master schedule — book consultations and installs, confirm appointments with clients, and manage the calendar in our CRM
- Maintain a clean, organized front desk area and showroom environment to promote a positive first impression
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks for invoicing, record-keeping, and administrative documentation
- Perform clerical duties including filing, photocopying, proofreading documents, and managing correspondence
- Support showroom operations by scheduling appointments,
coordinating deliveries, and assisting with inventory management
- Assist with bookkeeping tasks such as invoicing and expense tracking to ensure accurate financial records
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and basic computer skills
- Experience with QuickBooks or similar accounting software is highly desirable
- Excellent customer service skills with the ability to handle inquiries via phone or in person confidently
- Strong clerical experience including data entry, filing, proofreading, and managing multi-line phone systems
- Prior front desk or receptionist experience in a design center is a plus but not required
- Demonstrated ability to multitask efficiently in a fast-paced environment while maintaining professionalism
- Knowledge of interior decoration, trades and design office procedures is advantageous but not mandatory
