Position Summary The Administrative Assistant provides day-to-day administrative and clerical support to ensure the effective operation of the school office. This position serves as a key point of contact for students, parents, staff, visitors, and external organizations, and supports school administration with scheduling, records management, communications, and general office coordination.
Key Responsibilities
- Provide administrative and clerical support to the school principal, teachers, and other staff members.
- Greet and assist students, parents, visitors, and service providers in a professional and courteous manner.
- Answer and direct telephone calls, respond to emails, and handle general inquiries.
- Schedule and coordinate appointments, meetings, school events, and staff activities.
- Prepare, type, edit, and distribute correspondence, reports, notices, forms, newsletters, and other school documents.
- Maintain accurate student, staff, attendance, registration, and administrative records.
- Enter, update, and retrieve information using school databases and administrative systems.
- Assist with student registration, enrolment, attendance tracking, and the maintenance of student files.
- Maintain filing systems, both electronic and paper-based, and ensure confidential information is handled securely.
- Receive, sort, and distribute incoming mail, deliveries, and internal correspondence.
- Maintain office supplies and equipment and coordinate purchases or service requests when required.
- Assist with the preparation of invoices, receipts, purchase records, expense documents, and other basic financial or administrative records.
- Support the organization of school programs, parent meetings, field trips, special events, and extracurricular activities.
- Communicate school policies, schedules, announcements, and other information to students, parents, staff, and community members.
- Coordinate with teachers and school staff regarding administrative requirements and daily operational matters.
- Maintain calendars, appointment schedules, meeting records, and administrative deadlines.
- Prepare meeting materials and take meeting minutes when required.
- Assist with general office organization and ensure the reception and administrative areas remain professional and well organized.
- Maintain confidentiality and comply with school policies, privacy requirements, and applicable administrative procedures.
- Perform other related administrative duties as assigned by school management.
Qualifications
- Completion of secondary school is required.
- Previous administrative or clerical experience, preferably in a school, educational institution, childcare centre, or similar environment, is preferred.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Experience using student information systems, scheduling software, or other administrative databases is an asset.
- Strong written and verbal communication skills.
- Strong organizational, time-management, and multitasking abilities.
- Excellent attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Strong interpersonal and customer-service skills.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Ability to communicate effectively with students, parents, teachers, administrators, and members of the public.
Working Conditions
- Work is primarily performed in a school office environment.
- Regular interaction with students, parents, teachers, staff, and visitors is required.
- The position may require occasional support for school events, meetings, or activities outside regular office hours.
