BCIT’s Corporate Services department is seeking a regular, full-time (1.0 FTE) Campus Services Supervisor. Under the direction of the Operations & Revenue Manager, this position supervises the day-to-day operation of the Downtown Campus and ensures that all Educational, Audio Visual and Media Center, Front Counter/Reception and Copy Service requirements, processes and information run effectively and efficiently. This position ensures optimal service levels in both customer service and internal efficiencies and continually seeks ways to improve business processes.

This position provides general support to the DTC bookstore, external events and tenants and also assists the Operations & Revenue Manager with the development of operational policies and procedures, preparation of budgets and planning with the various BCIT Schools which offer programs at the DTC.

Duties & Responsibilities

DUTIESANDRESPONSIBILITIES:

Supervision:

- Plans, develops, updates, documents and implements policies, systems and procedures through consultation with staff, manager, other BCIT departments and /or committees. Gathers data and prepares reports and recommendations on staffing, budgeting, scheduling, facilities and equipment matters.
- Provides supervision to five employees including front counter staff, AV support and the Operations Coordinator.
- Participates in selection, provides training and conducts performance appraisals.
- Assigns work, approves break periods and vacation schedules, timesheets and overtime; determines priorities and resolves issues.
- Ensures the maintenance of appropriate records and documentation for all staff members.
- Supervises and schedules auxiliary staff, including weekend and evening shifts and coverage for special events.
- Ensures staff is apprised of updated information, policies, processes and technology.

Support for Program Delivery:

- Works with the Operations & Revenue Manager to plan technical and space needs i.e. classrooms and computer labs, for courses and programs taught at the DTC.
- Provides resolutions to scheduling conflicts between DTC Internal Room Scheduler and support services such as ITS, Marketing Events, etc.
- Organizes term start activities e.g. DTC participation at PTS Instructors Info Night at Burnaby Campus, assigning ID’s, access codes and mailboxes for new instructors preparing Instructors’ Centre etc.
- Provides A/V technical support to instructors and students, which includes liaising with ITS staff.

Audio Visual / Media Centre:

- Trouble-shoots technical AV problems (including other assigned satellite campuses such as BMC and GNW).
- Administers HelpDesk software (i.e. Incident Monitor) requests and follow-up with clients.
- Supervises and provides preventative maintenance tasks, minor technical repairs, modifications and operational expertise to a wide range of AV equipment networks and control systems.
- Maintains inventory of equipment and applications, including recommendations on replacements, warranty service and upgrades.
- Coordinates the commissioning of recent TEK and Smart Classroom installations or equipment, including diagnostic network connectivity issues, software / hardware conflicts, etc.
- Maintains currency and initials changes of system related topics including current releases, suggesting, testing system modifications, upgrading and attending relevant conferences, workshops and courses.

Copying and One Card Services:

- Oversees local copying services.
- Liaises with BCITimaging on issues regarding copier units and copyright compliance issues.
- Oversees BCIT’s DTC Student Card, and copier/printer debit card processes. Support Activities for External Events, BCIT groups, Bookstore and Tenants.

- Manages and coordinates the set-up and operation of media/visual projection equipment, public address systems and staging for meetings, special events,



IP video-conferencing and conferences.
- Provides back-up to the Operations Coordinator including customer service for general bookstore operations.
- Maintains and updates a competitive equipment rental price list.
- Responds to requests from tenants and BCIT groups, as assigned by the Operations & Revenue Manager, e.g. providing solutions, support and distribution of AV equipment and furniture requirements in tenant premises.

Financial Support.

- Participates in the preparation of capital and operating budgets for AV equipment, classroom and office equipment and furniture.
- Oversees financial duties of Operations Coordinator specifically, ensuring that all payments are reconciled with charges; signing off prepared consolidated cash reports for Finance Department.

- Reconciles the receipts from the copier/printer debit cards, cash manager deposits and VISA purchase transactions.
- Reviews and approves A/P vendor invoices.

Facilities Support:

- Maintains inventories for asset management, such as furniture and AV equipment.
- Coordinates repairs in-house or through external vendors.

- Liaises with facilities management company on day-to-day issues in the building and coordinates furniture movement/relocation and storage, room configurations, room tidiness, HVAC, lighting and general repairs.
- Recommends and initiates procurement of equipment and facilities, based on knowledge of usage patterns, equipment reliability, user-friendliness, service records and other considerations.
- Co-ordinates the departments input to the campus master plan, including preparing the capital project list for consideration.

- Establishes and coordinates any major maintenance or facility renewal and renovations with campus planning and facilities.

Planning: In coordination with Operations & Revenue Manager:

- Establishes policy and procedure guidelines and participates in training initiatives to ensure Institute standards are maintained.
- Develops operational policies and procedures that impact DTC facilities rental operations and makes recommendations affecting policies, procedures and technology.
- Develops business continuity plans for the timely recovery of classroom assignments, AV equipment, front counter services and support for instructors.
- Identifies potential issues and makes recommendations for change or improvement.
- Identifies and evaluates needs from educational areas i.e. coordinating computer equipment with ITS, furniture, storage, teaching aids etc.
- Provides input on space planning for the building.
- Undertakes related duties as assigned, consistent with the job grade of this position.

Qualifications

QUALIFICATIONS:

Definition:

The qualifications section for this position was developed using the approved job evaluation plan, agreed to between the BCGEU and BCIT. The qualifications represent the minimum qualifications required in the future (i.e. to be reflected in job postings) and do not reflect the incumbent’s existing qualifications.

Education:

- Diploma in Technology in Electronics or comparable education. Plus formal training in audio visual services (i.e. industry training, seminars, associated credentialing such as InfoComm Certification or similar designations).

Experience:

- Two years general experience plus four years in a similar position (which includes one year’s experience in a supervisory capacity).

Software/Computer Application(s) and Expertise:

- Good working knowledge of Banner, Web Reporting,



Microsoft Office suite of products (i.e. Word, Excel, PowerPoint and Access), Creston control systems and programming, Tandberg Management system an asset; Student Card access, debit reader encoding / decoding and incident monitor system.

Communication/Interpersonal Skills:

- Excellent organizational and interpersonal skills. Strong leadership skills and work well in a team environment. Problem-solving and conflict resolution skills. Demonstrates excellent customer service.

Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.):

- Proven ability to work under pressure with changing priorities, meet deadlines and make responsible decisions while maintaining high levels of customer service. Must be detail oriented, self-motivated and self directed with the ability to exercise sound judgment.

Other Skills/Abilities:

- Must possess strong aptitude for electronic and computer systems equipment and other media related systems. Ability to keep current with technology. Driver’s license and vehicle are required. Ability to lift 20 lbs is required. Ability to provide guidance and leadership to a work team.

Salary Range

Salary Grade 9: $66,284 - $71,964 per annum.

Additional Salary Information

External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
