The Opportunity:
We are seeking a professional, solutions-driven, and people-focused Care Centre Operations Coordinator to support the day-to-day operations of our Care Centre and the locations it serves. The successful candidate will bring strong organization, sound judgment, and a proactive approach to staffing, scheduling, workflow coordination,
and process improvement.
The role offers an annual salary of $55,000 to $65,000, along with quarterly bonus potential, health, dental and insurance benefits, a wellness spending account, and a Company RRSP matching program.
Based at our New Westminster Care Centre, this position works closely with funeral directors, embalmers, management, and support teams to maintain operational continuity, resolve day-to-day challenges, and identify opportunities to improve processes and service delivery.
Key Responsibilities
1. Care Centre Operations & Coordination
- Coordinate the daily receiving, transfer, and preparation of decedents in accordance with regulatory, licensing, and Company standards.
- Coordinate daily operational activities across multiple Care Centre locations to ensure efficient workflow and service continuity.
- Monitor operational demands and proactively identify staffing or workflow issues requiring escalation.
- Maintain Care Centre equipment, supplies, and facility standards to support efficient operations.
- Maintain accurate operational records and documentation.
- Support onboarding, training, and day-to-day operational guidance for Care Centre staff.
- Promote consistent service standards, professionalism, and operational excellence.
2. Staffing, Scheduling & Cross-Location Coordination
- Coordinate staffing schedules across multiple locations to ensure appropriate operational coverage.
- Manage vacation schedules, shift changes, sick calls, and last-minute staffing shortages while minimizing service disruptions.
- Coordinate daily staffing priorities with funeral directors, embalmers, and management.
- Serve as the primary operational contact for staffing and scheduling matters.
- Support workflow coordination between Care Centre locations to maintain operational continuity.
- Identify scheduling challenges and recommend practical operational solutions.
- Review and approve part-time employee timesheets prior to payroll processing, ensuring time records are accurate and complete. Perform timekeeping corrections and manual entries as necessary to address system exceptions, missed punches, or other timekeeping discrepancies.
3. Process Improvement & Operational Excellence
- Identify operational inefficiencies and opportunities to improve Care Centre processes.
- Develop, implement, and maintain standard operating procedures, operational documentation, templates, and tracking tools.
- Support projects focused on improving scheduling, workflow, communication, and operational efficiency.
- Monitor the effectiveness of operational improvements and recommend ongoing enhancements.
- Promote a culture of continuous improvement throughout Care Centre Operations.
4. Reporting,
Documentation & Compliance
- Maintain accurate operational reports, records, trackers, and documentation.
- Ensure compliance with Company policies, regulatory requirements, licensing standards, and operational procedures.
- Maintain confidentiality when handling sensitive employee, client, and operational information.
- Support audits, reporting requests, investigations, and continuous compliance initiatives.
5. Health & Safety
- Support compliance with WorkSafeBC requirements, Company policies, and applicable health and safety legislation.
- Ensure workplace incidents, near misses, and safety concerns are reported, documented, and escalated appropriately.
- Participate in workplace inspections, hazard identification, corrective actions, and follow-up activities.
- Promote safe work practices throughout Care Centre Operations.
Required Skills & Qualifications
- Excellent organizational skills with the ability to coordinate multiple priorities across various locations.
- Strong communication and interpersonal skills with the ability to build collaborative relationships.
- Excellent problem-solving and decision-making abilities in a fast-paced operational environment.
- Demonstrated ability to coordinate staffing, scheduling, and operational workflows.
- Experience developing and improving operational processes and procedures.
- Proficient in Microsoft Office, particularly Outlook, Excel, and Teams.
- Ability to manage confidential information with professionalism and discretion.
- Working knowledge of funeral service operations, applicable legislation, health and safety requirements, and regulatory standards is considered an asset.
