This is a full-time position during business hours, Tuesday through Saturday.
Responsibilities
- Oversee the daily operations of the clinic, ensuring efficient workflows and a high standard of patient service.
- Lead, mentor, and support a team of administrative and clinical staff while promoting accountability, collaboration, and professional development.
- Coordinate staff scheduling, clinic coverage, and resource allocation to maintain efficient operations.
- Manage payroll preparation, timesheet approvals, and administrative reporting.
- Monitor clinic budgets, operating expenses, and financial performance while identifying opportunities to improve efficiency.
- Oversee inventory management, purchasing, and product ordering to ensure appropriate stock levels and cost control.
- Develop, implement, and maintain operational policies, procedures, and administrative systems.
- Delegate responsibilities effectively while maintaining transparent expectations and accountability.
- Prepare operational reports, track key performance indicators, and provide recommendations to support business growth.
- Collaborate with healthcare professionals to optimize clinic operations and enhance the patient experience.
- Ensure compliance with healthcare regulations, privacy requirements, workplace policies, and safety standards.
- Support business initiatives, process improvements, and continuous operational development.
Qualifications
- Minimum 3–5 years of experience in office management, operations management, clinic management, or a similar leadership role.
- Proven experience leading teams, delegating responsibilities, and managing employee performance.
- Strong knowledge of business operations, budgeting, scheduling, payroll administration, purchasing, and inventory management.
- Excellent organizational, problem-solving, and time-management skills with the ability to prioritize competing responsibilities.
- Strong leadership and decision-making abilities with a calm, professional, and solutions-focused approach.
- Exceptional interpersonal and communication skills with the ability to work effectively with healthcare professionals, staff, patients, and external vendors.
- High level of professionalism, discretion, integrity, and attention to detail.
- Proficiency with Microsoft Office, scheduling software, and electronic medical record (EMR) or clinic management systems is considered an asset.
- Willingness to learn, adapt, and contribute to the ongoing growth and success of the clinic.
- Clean criminal record check.
