Position Type: Volunteer

Commitment: Minimum 16 hours per month (approximately 4 hours per week)

About Beacon Heights ECS

Beacon Heights ECS is a nonprofit Early Childhood Services organization supporting young children and families through inclusive education, individualized programming, and access to specialized supports. Our team works closely with families, community organizations, healthcare professionals, and other partners to help connect children with the services and educational opportunities they need.

We are looking for a reliable, organized, and motivated Community Engagement & Administrative Support Volunteer to provide behind-the-scenes support to our Community Engagement & Partnerships team.

About the Volunteer Role

This is a great opportunity for someone interested in gaining practical experience in administration, community engagement, event coordination, education, or nonprofit operations.

The volunteer will assist with a variety of administrative and organizational tasks that help our community initiatives and events run smoothly. Responsibilities will vary depending on upcoming events, projects, and organizational priorities.

What You May Help With

Administrative Support

- Assist with basic data entry and updating spreadsheets or trackers
- Organize files, folders, forms, and other office materials
- Count and organize ballots, survey responses, event entries, or similar materials
- Scan, photocopy, print, label, and prepare documents
- Assemble information packages, folders, and outreach materials
- Assist with organizing digital and physical files
- Review lists and trackers for missing information, duplicates, or items requiring staff follow-up
- Support other general administrative projects as assigned

Event Preparation & Support





- Help prepare materials for community events, vendor events, presentations, and outreach activities
- Assemble giveaway bags, family information packages, children's activity materials, and promotional materials
- Organize and maintain event supply bins
- Count and track brochures, promotional materials, giveaways, and other supplies
- Use event checklists to help ensure required materials are prepared
- Assist with packing and unpacking materials before and after events
- Help reorganize and restock event supplies

Community Engagement Support

- Prepare outreach packages and materials for community partners
- Conduct basic online research on community events, organizations, and potential outreach opportunities
- Compile publicly available organizational and contact information
- Help maintain organized community resource and outreach lists
- Provide administrative support for community engagement projects and initiatives

We are looking from someone who is:
- Organized and attentive to detail
- Reliable and able to follow through on assigned tasks
- Comfortable completing administrative and repetitive tasks
- Able to work independently after receiving instructions
- Comfortable using basic computer programs such as Microsoft Word, Excel, or Google Workspace
- Professional and respectful when working in an educational environment
- Willing to help wherever support is needed

Previous office, administrative, event, or volunteer experience is an asset but not required. Training and direction will be provided.

Time Commitment

Volunteers are asked to commit to a minimum of 16 hours per month,



averaging approximately four hours per week.

Scheduling can be flexible and may vary depending on upcoming events and projects. Some weeks may require additional event preparation, while others may focus more heavily on administrative and organizational tasks.

We are looking for someone who can make a consistent commitment and become a dependable part of our Community Engagement & Partnerships team.
