Position Summary
The Event Coordinator will successfully act as the customer’s primary contact after the Sales Manager has closed the sale ensuring continuous customer satisfaction. The coordinator will assist with optimizing both public and private charter cruising through event detailing, client service and qualified communication with the delivery teams. Reporting to the Event Manager, essential job functions and duties include but are not limited to the following: Please note this is a seasonal/contract position.

Paid Training Duties and Responsibilities: Event Coordination &
- Customer Service:
- Coordinates public and private charter events with the Sales, Food &
- Beverage, Operations, and Administrative Departments once the sale has been finalized.
- Obtains all information related to the assigned program from the Event Manager.
- Provides prompt responses to customer inquiries and maintains professional communication with assigned clients.
- Develops comprehensive knowledge of product offerings including menus, vessel specifications, and event execution guidelines.
- Coordinates all components of private charter events including menu selections, bar packages, floor plans, event schedules, outside vendor orders and entertainment.
- Collaborates with clients to boost guest experience through enhancement packages.
- Completes all Banquet Event Orders on schedule and with fine attention to detail.
- Acts as the liaison between the Company and special-order vendors.
- Ensures complete and accurate product details are communicated to the F&B; and Operations Departments during weekly status meetings to guarantee proper execution of the event and delivery on client expectations.
- Assists with event set up and boarding for charter and public dining events. On select private or public events, will be required to be onboard for the entirety of the cruise to help ensure product delivery. Administrative:
- Documents and updates event details in the Company’s sales data base.
- Attends and participates in the calendar management meeting.
- Attends other pertinent meetings as requested.
- Maintains good organizational practices through time management, setting priorities, and accurate paperwork.
- Assists team with part-time projects in addition to daily responsibilities.
- Additional job duties as assigned by Event Manager.
Requirements &
- Qualifications:
- Bachelor’s degree in discipline related to the work of the position OR equivalent work experience.
- Minimum of 2 years of previous customer service experience and 1-year of hospitality experience required.
- Minimum of 1-2 years of Event Coordination preferred.
- Experience in Salesforce or event planning software an asset.
- Effective oral and written communication skills.
- Highly organized with keen attention to detail.
- Energetic, enthusiastic, and self-motivated.
- Capable of managing multiple tasks/projects at one time and meeting deadlines.
- Must possess a service orientation – actively looking for ways to help others.
- Capable of listening effectively, assessing the situation, determining relevant issues, & suggesting solutions.
- Proficient with Microsoft Office applications (especially Word and Excel), and Outlook.
- Ability to reach, bend, stoop, wipe, push, pull, move and/or lift. Ability to safely move up to 30lbs (14kgs).
- Must be comfortable wearing assigned Personal Protective Equipment (PPE) (i.e. non-slip shoes, gloves, weather appropriate dress attire, sun protection).
