Guest Service Representative/ Night Auditor
Description: The Guest Service Representative is responsible for delivering exceptional service to guests by providing a warm welcome, ensuring a smooth check-in/check-out experience, and addressing guest needs promptly and professionally. This role plays a key part in creating memorable guest experiences while supporting daily front desk operations.
Key Responsibilities:
- Greet guests with a friendly and professional demeanor upon arrival and departure
- To check in/check out guests in a friendly and professional manner ensuring accuracy of all information/billing and achieving standards.
- To carry out all Front Desk and cashiering duties achieving accuracy and logical work sequence in accordance with the standards.
- Handle guest inquiries, requests, and complaints with care, following service recovery guidelines
- Manage reservations, room assignments, and guest accounts using the property management system (PMS)
- Provide information about hotel services, amenities, and local attractions
- Collaborate with other departments to ensure guest satisfaction and seamless service
- Handle cash, credit card transactions, and balance daily reports accurately
- Follow company policies, security, and safety procedures
- To answer the switchboard in a friendly, courteous manner ensuring messages are recorded and promptly passed on in line with Hotel and Company Policy. To be proficient in the taking of hotel reservations and "sell" from the top in order to maximize average room rate.
- To be competent in the use of the computer in line with laid down procedures.
- To liaise with the Housekeeper and Maintenance regarding the availability of rooms in order to contribute to the smooth running of the hotel and the satisfaction of our guests.
- To positively respond to guest queries, requests for information in line with Hotel Policy.
- To ensure full completion of all duties relating to the shift and a concise hand over in order to assist the smooth running of the hotel and guest satisfaction.
- To be aware of procedures to follow in the event of emergency in accordance with Hotel and Company Policy. All other duties as required.
Qualifications:
- Previous experience in customer service or hospitality is preferred
- Strong communication and interpersonal skills
- Ability to multitask and remain calm under pressure
- Professional appearance and positive attitude
- Proficiency with computers and reservation systems (experience with Opera, OnQ, or similar PMS is an asset)
- Flexible schedule, including evenings, weekends, and holidays
