Simco Management (Calgary) Inc. is looking for an enthusiastic, motivated, and customer-focused Front Desk Administrator to join our growing team. This is an exciting opportunity for an organized professional who enjoys assisting others, managing multiple priorities, and creating a welcoming and positive experience for clients, residents, visitors, and team members.

Key Responsibilities
- Open and close reception and boardroom areas, prepare coffee, and maintain an orderly, welcoming front office.
- Answer and transfer calls, take accurate messages, monitor voicemail, and escalate reported property emergencies promptly.
- Protect confidential staff information and communicate staff availability professionally.
- Receive, date-stamp, scan, label, sort, and distribute mail, invoices, forms, faxes, packages, and legal correspondence.
- Receive in-person payments, issue receipts, route cheques and card receipts, and follow cash-handling controls.
- Issue, receive, and track keys and fobs, including maintenance and contractor key sign-outs.
- Coordinate courier requests, bank deposit bag handoffs, and package collection or delivery.
- Maintain property folders, reception supplies, business cards, meeting-room bookings, and front-desk tracking records.
- Monitor reception email and Zoom communications, distribute announcements, and complete assigned administrative work.
- Perform daily reconciliation and handoff activities, including delivery of receipts, cheques, and the Moneris end-of-day report to Accounting.
Service and Control Expectations
- Provide courteous, calm, and helpful service in person, by telephone, and through electronic channels.
- Use sound judgment when prioritizing urgent calls, payments, sensitive documents, and visitor requests.
- Maintain confidentiality and never release personal staff contact information.
- Keep accurate records and ensure all items are delivered to the correct person or department.
- Follow current internal procedures for security, payment handling, account information, and document routing.
Knowledge, Skills, and Abilities
- Clear verbal and written communication skills.
- Professional telephone manner and strong customer-service judgment.
- Organization, accuracy, and the ability to manage frequent interruptions and competing priorities.
- Discretion when handling confidential information, payments, keys, legal correspondence, and staff schedules.
- Basic proficiency with email, Zoom, voicemail, document scanning, and standard office equipment.
- Ability to follow detailed procedures,
maintain tracking records, and complete reliable end-of-day handoffs.
Working Relationships Works closely with property/condo managers, property accountants, Administration, Accounting, and other office staff. Interacts regularly with clients, owners, tenants, realtors, vendors, couriers, and other visitors.
