We’re hiring a full-time Associate to be the first person those families speak with.

Professionalism, empathy, and reliability are central to our principles. In this role, you’ll be listening attentively, collecting information, answering inquiries, resolving issues, and providing support with patience, accuracy, and a calm, welcoming demeanour. It is steady, detailed work that matters a excellent deal to the people on the other end of the phone.

What it’s like to work here

Peacehold is a quiet, clean, calm and respectful workplace. Associates have their own office and work independently, with full team support. You’ll communicate regularly with families and organizations by phone, email and fax, but internally the days are low-key, consistent and structured.

What you’ll do

- Receive incoming calls and emails from families and take detailed intake information
- Open and maintain client files, ensuring records are accurate and complete
- Prepare and review forms and correspondence using our established templates
- Correspond with government offices and other institutions on a family’s behalf by phone, email and fax
- Track outstanding items and deadlines across multiple active files
- Follow up with families to keep them informed at each stage

What you’ll bring

Required

- High school diploma; post-secondary diploma preferred
- Three or more years of administrative or clerical experience, or equivalent
- Proficiency with MS Office and standard office software
- Typing speed of at least 50 wpm
- Clear, accurate verbal and written communication

including difficult ones
- Is dependable, and cares about the families and about the quality of their own work
- Enjoys focused, independent work, and knows when to ask for help
- Stays organized across many open files without letting details slip
- Wants to learn and grow with the role
