Role
The Regional Vice President is seeking a Senior Administrative Assistant. This role supports the Regional Vice President as an extension of the Distribution Leadership team, providing strategic direction on operations and management of the local IG Wealth Management Region Office. The Regional Vice President is responsible for long-term growth, productivity, and sales results in the region, through client acquisition and retention of top Consultant talent, and for fostering an inclusive, diverse,
and solid compliance culture within the region.
Responsibilities
- Provides confidential senior-level administrative support to the Regional Vice-President.
- Maintains appointment schedules and coordinates meetings (in person or virtual).
- Manages email inbox and completes/actions tasks on the RVP’s behalf.
- Proactively monitors the calendar and provides status reports on projects; prepares meeting packages, agendas, action lists, and minutes as required.
- Provides support and acts as a resource on assignments; coordinates travel arrangements and prepares expense reports.
- Prepares correspondence, reports and presentations; manages documentation and documentation organization.
- Supports technology adoption and provides BYOD-related technology support; Help Desk escalations and general inquiries.
- Supports business development and marketing activities and strategies; assists with region client acquisition events (virtual and in person).
- Facilitates PWPE case intake, schedules reviews/calls, engages stakeholders, and tracks outcomes to completion.
- Develops working knowledge of Advisor Portal and runs reports (e.g., BID reports, Client Acquisition, LPP Progress).
- Collaborates with regional leadership, staff, and Consultants across multiple locations; supports region office operations and facility management.
- Coordinates region projects and events and assists with region budget/finances.
- Supports the Regional VP in promoting a respectful, diverse, and inclusive workplace and in building a strong compliance culture.
Qualifications
- Business Administration Diploma or other postsecondary degree in a related field, or equivalent experience; minimum 5+ years of administrative experience, preferably in sales or financial services.
- Effective communication skills with excellent interpersonal abilities across all organizational levels and clientele.
- Excellent writing skills in French.
- Service-oriented with strong relationship management skills.
- Ability to work independently and as part of a team; able to handle confidential information tactfully.
- Exceptional technology skills and digital savviness; able to support a digital environment and document management and collaboration tools.
- Proficient with MS Office (Word, Outlook, PowerPoint with infographic usage, Teams) at an advanced level; intermediate Excel.
- Flexible and able to perform in a fast-paced, changing environment; strong organizational, planning and prioritization skills; ability to multi-task.
- Bilingualism (French-English) is an asset; knowledge of both languages is required to support clients and team members in/around Quebec.
