HR Administrator – Maternity Leave Coverage
Employment Type: Full-Time, Contract Contract Duration: 12–14 months – Maternity Leave Coverage

We are seeking an organized, detail-oriented, and people-focused HR Administrator to join our team, who will be based on Supreme Motors assisting all the dealerships in the group on a 12–14 month maternity leave coverage contract. This is an excellent opportunity for an HR professional looking to gain broad, hands-on experience in a fast-paced automotive dealership environment.
Position Summary
The HR Administrator will provide day-to-day administrative support to the Human Resources department and assist with a wide range of employee lifecycle activities. The successful candidate will support recruitment and onboarding, maintain employee records in HRIS system, assist with payroll and benefits administration, coordinate HR documentation, support employee relations processes, and ensure HR systems and records remain accurate and up to date.
The ideal candidate is highly organized, approachable, confidential, and comfortable managing multiple priorities while working independently.
Key Responsibilities
HR Administration
- Maintain accurate and confidential employee personnel files and HR records using company HRIS system.
- Process employee changes including new hires, transfers, promotions, compensation changes, leaves, and terminations.
- Prepare employment letters, confirmation letters, salary letters, warning letters, termination documentation, and other HR correspondence.
- Maintain accurate employee information in the HRIS.
- Monitor employee documentation and follow up on outstanding requirements.
- Prepare Organization Charts, HR reports, spreadsheets, and employee lists as required.
- Maintain HR calendars and track important employee-related deadlines.
Recruitment & Onboarding
- Post job vacancies and manage recruitment advertisements.
- Review applications and coordinate interviews with hiring managers.
- Conduct initial screening, background and reference checks.
- Prepare offer letters and employment documentation.
- Coordinate new employee onboarding.
- Ensure completion of onboarding forms, training, and required documentation.
- Track licensing and certification requirements, including OMVIC licensing where applicable.
- Coordinate employee offboarding and ensure all required documentation is completed.
Employee Support
- Respond to routine employee HR inquiries and escalate complex matters to the senior management.
- Assist employees with questions relating to HRIS system, time and attendance, vacation balances, personal information, and leave requests.
- Assist with employee communications and HR announcements.
- Maintain strict confidentiality when handling employee information and sensitive matters.
Payroll & Advantages Administration
- Assist with payroll-related administration and provide employee changes to the payroll team.
- Maintain accurate payroll information and employee status changes.
- Assist with benefits enrollment and general employee benefit inquiries.
- Coordinate benefit changes for new hires, leaves, and terminations.
- Maintain vacation and leave records.
- Assist with payroll and HR audits as required.
Performance & Employee Relations
- Track probationary periods and performance review deadlines.
- Assist with performance management documentation.
- Prepare warning letters, disciplinary documentation, and other HR correspondence as directed.
- Assist workplace investigations and employee relations matters.
- Follow up with employees and managers regarding outstanding HR documentation.
Health & Safety & Compliance
- Assist with workplace health and safety administration.
- Maintain employee training and certification records.
- Assist with WSIB documentation and administration.
- Maintain records required for legislative and company compliance.
- Assist with AODA and other HR compliance requirements.
- Support workplace incident documentation and follow-up.
HRIS Administration
- Maintain employee information and records in the HRIS.
- Process new hires, employee changes, and terminations within the system.
- Monitor completion of onboarding documents and required training.
- Assist employees and managers with HRIS-related questions.
- Maintain accurate digital personnel records.
Qualifications
- Post-secondary education in Human Resources, Business Administration, or a related field.
- 1–3 years of HR administration experience.
- Previous experience in an automotive dealership or similar fast-paced environment is an asset.
- Knowledge of Ontario employment legislation and HR practices.
- Experience working with an HRIS is preferred.
- Strong Microsoft Office and Excel skills.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Excellent attention to detail.
- Ability to handle confidential information with discretion.
- Ability to work independently and manage competing priorities.
