Opportunity to contribute to strategic initiatives, process optimization, and systems enhancements A stable organization with a robust reputation and long-term growth trajectory Job Duties and Responsibilities HR Support Manage the shared Human Resources inbox by triaging, prioritizing, and responding to inquiries promptly, and routing items to the appropriate team member as needed. Maintain HR policies, templates, SharePoint resources, and organizational documents so employees can access accurate, current information. Update manual email distribution lists, internal directory and revise the company organizational chart monthly for posting to SharePoin Total Rewards Support Assist with the on-the-spot recognition program., location engagement budgets, perks programming, and annual holiday gift card program.
Assist with annual modality recognition week programming, including ordering and distributing treats for events such as Sonographer Week and Administrative Professionals Day. Support the Total Rewards Coordinator to plan and deliver Mayfair’s annual employee celebrations, including the Long Service Awards, Stampede Party, and Holiday Party. Invoice management with accounts payable.
Prepare ad hoc reports for HR team members and support special projects as assigned.
Employee Lifecycle Support
Learn to administer and support Dayforce HRIS modules, including recruitment, onboarding, learning management, performance management, reporting, and related functions.
Complete compliance reporting and follow-up to support adherence to health and safety requirements and applicable College of Physicians and Surgeons legislation and standards. Manage monthly certification reporting to ensure clinical employees maintain current required certifications and follow up with employees whose certifications are nearing expiry.
Process and track employees who receive education support beyond their annual allowance, including return-of-service agreements, education reimbursements, and licensing renewal claims. Provide reimbursement submissions weekly to Payroll for processing education and licensing reimbursements. Onboarding, Offboarding, and Employee Status Changes Manage onboarding administration for new hires, including coordinating with stakeholders to set up IT accounts and request organizational assets such as FOBs, name badges, and workstations.
Maintain onboarding policies in Dayforce for clinics, the call centre, and administration; monitor onboarding progress, track assigned tasks and required form completions, and follow up on outstanding items as needed. Manage offboarding administration for departing employees, including coordinating IT account closures, collecting organizational assets, and sending required notifications. Process employee status changes in the HRIS and maintain accurate employee data.
Work with Operations to verify employee change requests and prepare offer or change letters. Triaging all accommodation request to the HRBP and Operations for review. Process approved accommodations and update Dayforce priorities accordingly Support the HRIS Lead with Dayforce troubleshooting as issues arise.
Provide backup support to the HRIS Lead during vacation or other absences.
Recruitment Support
Provide administrative and coordination support to the Talent Acquisition Partner throughout the full-cycle recruitment process for internal and external roles across clinics, the customer contact centre, and head office. Support recruitment activities such as job postings, interview scheduling, pre-screening, interviewing, police and reference checks, offer letters, new hire forms, first-day coordination, employee change letters, internal referrals and promotion letters.
Promote a positive candidate and hiring team experience throughout the recruitment process, aligned with the organization’s recruitment brand and values.
Maintain recruitment letter templates and position descriptions, ensuring they remain current and are posted to SharePoint as required Other Participate in recurring Human Resources team meetings. Maintain current technical and professional knowledge through workshops, conferences, and participation in qualified associations. Attend and support HR-hosted events.
Support accreditation processes with the applicable provincial college, such as CPSA or CPSS, as required.
Support Occupational
Health and Safety processes as required. Contribute to a safe workplace by cooperating with policies and Occupational Health and Safety Act requirements. Perform other duties as assigned to support organizational or departmental improvement.
Qualifications &
Requirements Bachelor's degree in human resources management. Interest in pursuing a CHRP designation. Minimum one year of related Human Resources knowledge and experience. Recruitment experience, including use of an online applicant tracking system, is preferred;
experience with an HRIS such as Dayforce is also an asset. Strong proficiency in Microsoft Office, and SharePoint and Docusign experience are assets. Knowledge of employment law, human rights law, and Human Resources practices and procedures.
Positive, proactive self-starter who can work effectively with limited supervision. Strong critical thinking and troubleshooting skills. Strong written, verbal, and interpersonal communication skills, with the ability to work effectively with individuals at all levels of the organization, from staff to Partners.
Ability to build and maintain strong relationships with corporate departments and key external stakeholders. Strong organizational, time management, and multitasking skills. Demonstrates pride, ownership, accountability, and resilience when facing challenges.
Working Environment
Requires use of the phone, computer, and sitting for extended periods of time Normal movements of twisting, bending, reaching, and using hands and arms in completing paperwork and administrative tasks May be required to lift items up to 3 kilograms. Must be prepared to work flexible hours as required to complete duties during non-business hours with respect to events and engagement activities. Travel to Mayfair clinics within Alberta and Saskatchewan may be required.
