Term: Full-Time, Permanent
Compensation: $50,000.00 - $60,000.00 annually
Start Date: As soon as a suitable candidate is found

K’en T’em Limited Partnership (KTLP) is a for-profit corporation committed to providing the Nlaka’pamux people of the eight Citxw Nlaka’pamux Assembly (CNA) Participating Bands with the resources that will help them efficiently create, manage and operate business opportunities. The Executive Assistant provides confidential, organized, and responsive administrative support to leadership and assists with the day-to-day coordination of executive and organizational priorities. This role supports scheduling, meetings, correspondence, document preparation, record keeping, and follow-up activities while helping ensure information and requests are managed efficiently and professionally.
The Executive
Assistant requires strong organization, discretion, communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Primary Duties
- Provide day-to-day administrative and executive support, helping to ensure schedules, meetings, correspondence, and priorities are well organized,
- Maintain efficient office operations by organizing administrative systems, coordinating workflows, and identifying opportunities to improve day-to-day processes,
- Manage and coordinate calendars, appointments, and meetings, including scheduling, booking meeting spaces, and coordinating logistics,
- Prepare meeting agendas, materials, correspondence, reports, presentations, and other documents as required,
- Attend meetings, take and distribute minutes, and assist with tracking action items and follow-up,
- Receive, organize, and assist with prioritizing incoming correspondence, inquiries, and requests, directing matters to the appropriate individual when required,
- Draft, proofread, format, and distribute routine correspondence and other materials,
- Maintain organized and confidential electronic and physical filing and record-keeping systems,
- Handle confidential and sensitive information with discretion and professionalism,
- Assist with expense documentation, purchasing requests, invoices, and other administrative processes as required,
- Liaise professionally with staff, community members, partners, and other internal and external contacts,
- Support general office administration and provide administrative assistance to other departments when required,
- Anticipate upcoming administrative needs and assist with ensuring deadlines and commitments are followed up on, and
- Other ad hoc duties as assigned by the Operations Manager or designate.
Knowledge, Skills and Abilities
- Strong organizational and administrative skills with excellent attention to detail,
- Ability to handle sensitive and confidential information with discretion and professionalism,
- Strong written and verbal communication skills,
- Ability to organize and manage multiple priorities, deadlines, and requests in a fast-paced environment,
- Strong interpersonal skills and the ability to communicate professionally and respectfully with leadership, staff, community members, and external contacts,
- Ability to exercise good judgment and take initiative while working independently,
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and related productivity tools,
- Strong document preparation, proofreading, and record-keeping skills, and
- Willingness to learn or knowledge of beginner nłeʔkepmxcín, nłeʔkepmx cultural values and protocols while recognizing and respecting cultural diversity.
Experience and Requirements
- 1-2 years of experience in administrative support, executive support, office administration, or a related role,
- Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset,
- Experience coordinating meetings, calendars, correspondence,
and/or administrative documentation is an asset,
- Experience working with confidential or sensitive information is an asset, and
- Valid BC Class 5 Driver’s Licence with access to a reliable personal vehicle.
Work Setting
- Schedule: Monday through Friday between 8:30am and 4:30pm, with a 1-hour unpaid lunch break, fluctuating when needed. On average, 35 hours per week,
- Overtime: All daily overtime over 8 hours will be banked at 1.5x, all hours over 12 will be banked at 2x,
- Reporting Office Location: Office work will be conducted from the K’en T’em office at 1355 Nicola Ave, Merritt BC,
- Vacation: 2 weeks paid vacation (10 working days), accrued at 0.84 per month,
- Winter Break: 2 weeks paid (max 10 working days),
- Benefits: 50% benefit premiums paid by employer,
- Pension: Pension matching (percentage increasing with years of service), and
