Quinte Regional Sleep Clinic is seeking a full-time Medical Office Administrator to join our team in Belleville, Ontario.
We are looking for an organized, dependable and detail-oriented individual who is comfortable working in a busy medical office environment. This position involves a combination of electronic medical record (EMR) management, patient chart management, scheduling, phones, faxes and general clinic administration.
Previous experience in a sleep clinic is preferred but not mandatory. Candidates with strong medical office experience and the ability to learn new systems and workflows are encouraged to apply.
Your responsibilities will include:
- Maintain and update patient information in the clinic's Electronic Medical Record (EMR)
- Manage electronic and paper patient charts and ensure documentation is complete and properly filed
- Scan, upload and organize medical documents into patient charts
- Manage incoming and outgoing faxes and ensure documents are directed appropriately
- Process and organize referrals, reports and other medical correspondence
- Schedule and confirm sleep studies, physician appointments and follow-up visits
- Answer incoming telephone calls and assist patients with appointment and general clinic inquiries
- Manage voicemail and return or direct messages as appropriate
- Contact patients regarding appointments,
cancellations and scheduling changes
- Communicate with referring physicians and medical offices regarding referrals and missing documentation
- Prepare and maintain patient charts for upcoming appointments and sleep studies.
- Maintain accurate patient demographics and appointment information
- Ensure patient information and medical documentation are handled confidentially and accurately
- Perform other general medical office duties as required
What We're Looking For
- Previous medical office or healthcare administrative experience is preferred
- Previous sleep clinic experience is an asset but not required
- Experience managing medical records, patient charts, referrals and clinical documentation
- Comfortable managing a busy multi-line phone workplace
- Strong computer and data-entry skills
- Excellent attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to prioritize multiple tasks in a busy clinic environment
- Professional and courteous communication with patients, physicians and other healthcare providers
- Dependable, punctual and willing to learn
