Operations Coordinator (Dispatcher Trainee)

Lian Trucking Inc. is an established cross-border transportation company based in Surrey, British Columbia. We provide dry van transportation services throughout Canada and the United States.

We are seeking an organized, responsible, and detail-oriented Operations Coordinator (Dispatcher Trainee) to support our daily operations. The purpose of this position is to share the dispatcher’s workload while improving operational accuracy, efficiency, communication, and service quality.

Previous dispatch experience is not required. We are prepared to train a candidate who demonstrates strong attention to detail, communication skills, computer aptitude, accountability, and willingness to learn.

Key Responsibilities

Working closely with our dispatcher and operations team, you will:

- Maintain accurate and current information in the Transportation Management System (TMS), GPS platform, and other operational systems.
- Set up and update driver, truck, trailer, customer, carrier, and shipment information.
- Coordinate with management and administration to ensure insurance, permits, registrations, and other required documents are current in the applicable systems.
- Prepare and process cross-border customs documentation, including ACE and ACI.
- Verify customs and shipment information for accuracy and completeness.
- Coordinate pickups, deliveries, appointments, and shipment updates.
- Monitor truck locations, driver progress, and shipment status.
- Communicate clearly and professionally with drivers, customers, brokers, carriers, shippers, and receivers.
- Respond promptly to operational issues and follow through until they are resolved or properly escalated.
- Ensure drivers submit required documents, including PODs, BOLs, receipts, and customs documents, through the TMS correctly.




- Review submitted documents and promptly follow up on missing, incomplete, or unclear information.
- Assist with load planning and searching for suitable freight.
- Help identify reload opportunities to improve truck utilization and reduce empty miles.
- Support the coordination of loads with outside carriers when required.
- Gradually develop the knowledge and ability to manage the full dispatch cycle independently.
- Assist with other operational and administrative duties as required.

Communication and Service Standards The successful candidate must:
- Provide drivers with clear and complete instructions.
- Keep drivers, customers, and coworkers informed of important changes or problems.
- Take ownership of operational issues instead of leaving drivers or customers to resolve them alone.
- Respond to calls, messages, emails, and system notifications promptly.
- Follow up consistently until an issue is resolved.
- Escalate urgent or unresolved matters to the appropriate person without unnecessary delay.
- Remain calm, respectful, and professional when handling pressure or competing priorities.

Qualifications
- Previous office administration, customer service, logistics, or transportation experience is an asset.
- Experience in the trucking or transportation industry is a strong asset but is not required.
- Experience with dispatching, TMS platforms, GPS systems, or ACE/ACI processing is an asset.
- Proficiency with Microsoft Outlook, Word, and Excel.
- High school diploma required; relevant post-secondary education is an asset.
- Must be able to work on-site at our Surrey office.
