Role Description

The Receptionist is a full-time, on-site position based in Toronto, Ontario.

Key responsibilities include:

- Welcome visitors and provide a professional first point of contact
- Answer, screen, and direct incoming phone calls
- Manage a multi-line telephone system
- Respond to general inquiries from clients, vendors, partners, and employees
- Provide accurate information or direct inquiries to the appropriate department
- Manage incoming and outgoing mail, courier deliveries, and packages
- Maintain a clean, organized, and welcoming reception area
- Schedule appointments and assist with calendar coordination
- Perform data entry, filing, photocopying, scanning, and other clerical duties
- Support communication between internal departments and external contacts
- Assist administrative staff with daily office tasks and special projects
- Maintain office records and ensure documents are filed correctly




- Help coordinate office meetings, employee activities, and company events
- Support smooth and efficient day-to-day office operations

Qualifications

The successful candidate will have:

- Strong telephone etiquette and professional reception skills
- Experience answering calls and managing a multi-line telephone system
- Excellent verbal and written communication skills
- Strong customer service and interpersonal skills
- A patient, helpful, and client-focused approach
- Solid clerical and administrative skills
- Experience with data entry, filing, scheduling, and calendar management
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- The ability to learn new software and office systems quickly
- Robust organizational and time-management skills
- Excellent attention to detail
- The ability to manage multiple priorities in a fast-paced setting
- A professional appearance and positive attitude
- Consistent reliability, punctuality, and on-site attendance
- The ability to work independently and collaboratively with team members
- Previous receptionist, front desk, customer service, or administrative experience is preferred
- Completion of secondary school or an equivalent qualification is required
