Private Services Manager: Role Summary

We are hiring a Private Health Services Manager — a dynamic, broad-reaching leadership role at the center of Aroga's private services growth. You will lead and support the teams behind our growing portfolio of private programs and services, while also driving the sales, marketing, and operational engine that keeps this portfolio growing.

This role blends people leadership, revenue growth, and operational excellence. You'll work closely with senior leadership, administrative team and the clinical team to convert client interest into bookings, grow client lifetime value, strengthen retention, and support the campaigns and systems that make it all run smoothly. It's well suited to someone with a solid background in private health services, team leadership, marketing, and sales success — and offers a clear growth path toward a senior management position, as the private programs portfolio expands.

Compensation

$70,000–$80,000 base salary, plus a performance-based bonus and advantages.

Growth Path

This role is intentionally structured as a starting point, not a ceiling. As the private programs portfolio grows, we expect this position to grow with it — expanding into broader operational and revenue ownership across private services and systems,



with a clear path toward a senior management role, potentially including leadership of a dedicated sales team.

We're looking for someone who wants to grow into this chance, not just fill it. Scope, seniority, and compensation are all expected to expand meaningfully as the portfolio grows and as this person takes on more ownership. This is a role for someone who wants to build something alongside us — and be rewarded accordingly as it scales.

Key ResponsibilitiesTeam Leadership & Support

- Lead and support the private services team members across Aroga's private programs and services
- Provide leadership and day-to-day support for the private services team
- Serve as a key point of communication between the private services team and other team leaders, clinic managers, and senior clinical team members
- Partner with clinical and sales leadership to keep operations, scheduling, and reporting aligned with program goals

Sales & Revenue Growth

- Convert leads into set appointments or other selling opportunities
- Convert first-time buyers into committed, repeat customers
- Facilitate upsells, repeat business, retention, and recurring revenue across private programs
- Mine internal data to identify additional selling and cross-selling opportunities, matching specific offers to specific prospects
- Build customer enthusiasm and evangelism, generating increased referral activity

Marketing & Campaign Support

- Support new product or service launches, seasonal promotions, and other limited-time campaigns
- Provide social media support for private programs
- Interact and collaborate with marketing contractors and employees to align campaigns with sales and operational priorities

Systems, Workflow & Operational Execution

- Support day-to-day private services operations and client flow, troubleshooting issues, resolving where appropriate, and escalating when needed
- Identify inefficiencies in private program workflows and implement process improvements
- Create and maintain SOPs and clearly written guidelines for private program workflows — including scheduling, coverage, and handoffs — so patients experience consistent care regardless of which team member they interact with
- Improve documentation so execution doesn't rely on "tribal knowledge"
- Support rollout of new templates, workflows, and system improvements across the private services team

Client Communications: Ownership & Standards

- Own client communications across all channels — email, secure messaging, phone, and in-person — ensuring clients and staff receive clear, consistent, and timely responses at every stage of the client journey, from first inquiry through active care and follow-up after discharge.



May be hands-on with responses directly or delegate/oversee staff who handle them, depending on team capacity.
- Ensure complaints are followed up on and resolved, whether received directly (email, phone, in-person) or indirectly (online reviews, third-party platforms), and that resolution is documented and communicated back to the client where appropriate
- Build and maintain an approved template library covering key journey stages (booking, intake, follow-up, aftercare, rescheduling, troubleshooting, next steps) to support consistency and response speed across the team
- Monitor response timeliness and communication quality across channels, identifying gaps in coverage or training needs among staff handling client-facing communication

Data & Reporting Support

- Establish a regular cadence of reporting on key private-services outcomes, including client volumes across the various pipelines and sales volumes
- Support operational dashboards and KPI tracking tied to these metrics
- Contribute to weekly/monthly leadership reporting on sales and pipeline performance
- Surface recurring friction points and recommend fixes

Qualifications & Experience Required

- Strong experience in private healthcare services or service operations, with direct experience in a private-pay healthcare or wellness setting strongly preferred
- Proven experience in sales, business development, or client conversion — turning leads into bookings and first-time buyers into repeat customers
- Demonstrated leadership experience, with the ability to lead and support a team
- Strong documentation and communication skills: SOPs, checklists, templates, playbooks, email support, and regular written/verbal communication with team leaders, clinic managers, and senior clinical team members
- Comfortable learning and working within practice management and other technology systems, with the ability to ramp up quickly
- Organized, proactive, and able to execute independently with high attention to detail
- Proficiency using AI tools to support daily operations

Nice to Have

- Comfortable producing polished client-facing documents (reports, templates)
- Experience with corporate health programs and services
- Marketing experience, including social media and campaign support
- CRM familiarity (GoHighLevel), and/or familiarity with Jane EMR
- Experience in regulated healthcare settings
