Job Summary

Optima Windows & Doors is a growing family-run window and door company serving the GTA. We are looking for a Service Appointment Coordinator / Outbound Call Specialist to join our team.

This is a phone-focused position. A major part of the role will be making outbound calls to customers and prospects, following up on leads, confirming appointments, and ensuring opportunities are not missed.

The ideal candidate is confident on the phone, energetic, organized, persistent, and comfortable speaking with customers throughout the day.

Key Responsibilities

Outbound Calling — VERY IMPORTANT

- Make a high volume of outbound calls to customers and prospects
- Follow up with leads who have requested information or received a quote
- Contact customers to schedule and confirm appointments
- Follow up with customers who have not yet booked an appointment
- Reconnect with previous customers and past leads
- Make follow-up calls after estimates and sales appointments
- Identify opportunities to schedule additional service or sales appointments
- Leave professional voicemails and follow up consistently
- Track all calls, conversations, and follow-up activities in our CRM
- Maintain a consistent follow-up schedule so no lead is forgotten

Customer Service & Scheduling

- Answer incoming customer calls and service inquiries
- Schedule and coordinate service and warranty appointments
- Confirm appointments with customers
- Coordinate schedules with installers and service technicians
- Communicate appointment changes and updates
- Follow up with customers after service visits
- Track outstanding service requests and ensure they are completed




- Handle customer concerns professionally and efficiently
- Maintain accurate customer and job information in our CRM
- Assist the office team with general administrative tasks when required

What We're Looking For

- Excellent phone and communication skills
- Confident and comfortable making outbound calls
- Not afraid to pick up the phone and make multiple calls every day
- Friendly, energetic, and professional personality
- Strong follow-up skills and persistence
- Excellent organization and time management
- Ability to manage multiple conversations and priorities
- Comfortable speaking with homeowners and customers
- Strong attention to detail
- Ability to handle rejection and keep making calls
- Comfortable using computers, email, CRM systems, and scheduling software
- Previous experience in outbound calling, appointment setting, telemarketing, customer service, or inside sales is an asset
- Experience in windows & doors, construction, home improvement, or other home-service industries is an asset

Schedule Monday to Friday, full-time
