The Ens Toyota Service Coordinator is responsible for assisting our Toyota service team with a variety of tasks related to repair orders, invoicing, warranty, customer follow-ups, booking appointments and other administrative tasks.
The successful candidate will have strong time management and organizational skills and be proficient in using computers. Experience is an asset; honesty & integrity are mandatory.
This is a permanent FULL-TIME position from Monday to Friday.

Responsibilities:
- Open and close service work orders.
- Process, submit, and update all warranty claims.
- Assist with ECP service warranty.
- Prepare, process, record and reconcile warranty claims as per manufacturer policies & procedures.
- Oversee the tire storage program and keep detailed records in Microsoft excel.
- Run service report to prepare tires for appointments and track all tire inventory.
- Help prep warranty repairs.
- Invoice all work orders for customers, internal, and warranty.
- Update operating codes in operating system.
- Organize completed repair orders.
- Clerical duties; filing, scanning, email, and phone calls.
- Process time tickets.
- Ensure accuracy and correct time tickets.
- Update customer and vehicle information.
- Support the Business Development Centre by handling inbound and outbound customer calls.
- Forward calls and messages to the appropriate staff.
- Book appointments and follow up with leads using dealership software.
- Connect to potential or previous clients on services and offers through calls, emails and text messages.
- Provide exceptional customer service in every interaction.
- Communicate accurately and specifically as required for the task, issue, or action at hand.
Knowledge, skills, and abilities:
- Reynolds & Reynolds' experience is an immediate asset.
- Excellent verbal, written and interpersonal communication
- Accurate and meticulous in data entry.
- Great organizational and time management skills.
- Detail-oriented.
- Strong concentration abilities.
- Able to manage a fast-paced setting.
- Technical skills: computer use, typing, data entry.
- Proficient in Microsoft Office; Microsoft Word and Excel.
- Knowledge of vehicles is an asset.
- Understanding of the automotive industry, especially the Service and Parts Department(s).
Qualifications:
- Highschool Diploma or equivalent.
- Post secondary education is preferred but not required.
- Experience within a service department is mandatory.
- Administrative background is considered an asset.
- Genuine interest in vehicles.
- Remuneration is negotiable based on experience.
