seeking a dynamic, organized, and mission-driven Administrator/Fundraiser to join our team full-time and support our next phase of
growth.
POSITION OVERVIEW
Title: Administrator / Fundraiser
Employment Type: Full-Time (37.5 hours/week, on-site)
Location: Mississauga, ON
Reports To: School Principal / Board of Directors
Compensation: Competitive, based on experience + performance-based fundraising incentives
The Administrator/Fundraiser is a key leadership support role responsible for the day-to-day administrative operations of the school,
parent and prospective family communications, enrollment growth, grant writing, fundraising, and marketing. The ideal candidate is
highly organized, an excellent communicator, passionate about Christian education, and experienced in administration and
fundraising.
1. Day‑to‑Day Administration & Communications (50%)
Serve as first point of contact for the school – monitor and manage incoming calls, emails (
[email protected]), and walk‑ins with professionalism and warmth
Manage daily communication with current parents – announcements, newsletters, reminders, and responding to inquiries in
a timely manner
Maintain student records, enrollment files, attendance, and administrative databases with confidentiality and accuracy
Coordinate calendar management, scheduling of meetings, tours, and school events
Support Principal with administrative tasks, report preparation, and office management
Oversee front office operations and ensure a welcoming, Christ‑centered environment
2. Admissions & Prospective Student Follow‑Up (20%)
Manage full admissions funnel – respond to inquiries, schedule tours, conduct follow‑ups with prospective families via
phone, email, and in‑person
Track prospective students from inquiry to enrollment, maintaining CRM / tracking sheet
Organize Open Houses, Information Nights, and school tours
Assist families with application process, tuition information
Work towards enrollment growth targets
3. Grant Writing & Fundraising (20%)
Research, identify, and apply for relevant grants for private Christian schools, educational programs, and capital projects
Write compelling grant proposals, letters of intent, and reports to foundations and government programs
Develop and execute annual fundraising strategy – including donor cultivation, sponsorships, annual giving campaign, and
fundraising events
Build and maintain donor database and relationships, provide timely acknowledgments and impact reports
Plan and coordinate fundraising events and campaigns
Meet annual fundraising goals
4. Marketing & Community Engagement (10%)
Develop and implement marketing plan to increase visibility and enrollment – social media, website content, flyers,
community outreach
Create marketing materials (newsletters, brochures, social media posts)
consistent with SCI branding (blue, gold, white)
Manage social media presence and website updates
Build partnerships with local churches, community organizations, and businesses
Represent SCI at community events
QUALIFICATIONS
Strong alignment with Shiloh Christian Institute’s Christian mission, statement of faith, and values – must be able to model
Christian character
Post‑secondary education in Business Administration, Communications, Non‑Profit Management, Education, or related
field preferred
2+ years’ experience in school administration, office management, or non‑profit administration
Proven experience in grant writing with track record of successful grants – MUST HAVE
Proven experience in fundraising and donor relations
Excellent written and verbal communication skills – professional phone and email etiquette
Solid marketing skills – experience with social media, Canva, newsletters, website (WordPress/Wix)
Highly organized, detail‑oriented, able to multitask and manage multiple priorities
Proficient in Microsoft Office / Google Workspace, databases, and CRM tools
Self‑starter, proactive, trustworthy, and able to maintain confidentiality
