Primary Responsibilities
Oversee day-to-day accounting tasks, including:
Real Estate accounting and transactions - processing purchase and sale closings, reviewing statements of adjustments, posting deposits and disbursements, managing trust ledgers, and ensuring timely payouts related to real estate files
Wills and Estates accounting and transactions - processing estate receipts and disbursements, maintaining estate trust ledgers, tracking executor and beneficiary payments, preparing estate accounting summaries, and ensuring compliance with trust and estate accounting requirements
Corporate accounting and transactions - processing corporate billings and retainers, recording corporate disbursements, managing trust and general retainers for corporate clients, and supporting corporate financial transactions
Routine tasks such as accounts payable, accounts receivable and billing
Oversee legal trust accounting, ensuring compliance and precision
Lead and oversee compliance with Law Society rules and internal procedures, including reviewing staff submissions for accuracy and following up to address and correct deficiencies
Monitor account balances and investigate and resolve discrepancies
Support month-end and year-end closing activities and reconciliations
Liaise with lawyers, legal assistants, and external vendors regarding financial matters
Assist with yearend, compliance reviews, and responding to information requests
Identify and implement process improvements to enhance efficiency and accuracy
Train and develop a staff member who possesses basic accounting knowledge and a strong eagerness to learn
Qualifications
Education:
Post-secondary education in accounting, finance, or a related field (e.g., diploma or degree)
Experience:
Minimum 5 years of progressive accounting experience, preferably within a law firm or skilled services environment
Familiarity with Law Society trust accounting rules and compliance requirements
Experience handling real estate, wills & estates, and corporate accounting transactions is preferred
Technical Skills:
Proficiency in accounting software commonly used in law firms (e.g., Clio Manage, Quick Books)
Strong knowledge of trust accounting, general ledger management, and reconciliations
Advanced skills in Microsoft Excel and other Microsoft Office applications
Core Competencies:
High attention to detail and accuracy in financial data processing
Strong organizational and time management skills, with the ability to prioritize and meet deadlines
Ability to lead compliance efforts and follow up on discrepancies with tact and firmness
Initiative to identify and implement process improvements and efficiencies
Ability to train and support staff with a foundational knowledge of accounting
Position Details
Hours: 37.5 hours per week Monday – Friday 8:30am – 4:30pm or 9am – 5pm
Location: Onsite at 1788 Division St N, Kingsville, ON N9Y 4G7
