Position Summary
We are looking for a proactive and versatile professional to fill this hybrid role combining Sales Administration and Front Desk Reception. The successful candidate will be a key point of contact for customers, suppliers, and visitors while providing critical operational support to the sales team. This position requires a polished communicator with strong technical skills and the ability to seamlessly transition between administrative and customer-facing responsibilities.
Key Responsibilities
Front Desk & Reception
- Serve as the first point of contact — welcoming customers, suppliers, and visitors with professionalism and warmth
- Manage incoming calls, emails, and inquiries, directing them to the appropriate team members
- Coordinate and prepare shop tours for prospective customers, suppliers, and stakeholders
- Maintain a clean, organized, and presentable reception and common areas at all times
- Manage visitor sign-in procedures, issue access badges, and ensure building security protocols are followed
- Receive and distribute mail, packages, and deliveries
- Coordinate meeting room bookings and prepare meeting spaces as required
- Provide general administrative support including printing, scanning, and filing
Sales Administration
- Manage and maintain the Salesforce CRM platform — including data entry, record updates, pipeline tracking, and user support
- Generate and distribute sales reports, dashboards, and performance metrics using Microsoft Power BI
- Prepare sales documentation, proposals, quotes, and presentations using the full Microsoft 365 suite (Word, Excel, PowerPoint, Outlook, Teams)
- Track and coordinate sales activities, follow-ups, and customer communications to support the sales team
- Assist with order processing, customer account management, and coordination with internal departments
- Monitor and maintain data integrity within Salesforce, identifying and resolving inconsistencies
- Support the onboarding of new sales team members on CRM tools and reporting processes
- Assist with the preparation of sales meeting agendas, minutes, and action item tracking
Qualifications & Requirements (Required)
- 2+ years of experience in an administrative, reception, or sales support role
- Proficiency with Salesforce CRM — data management, reporting, and pipeline maintenance
- Experience with Microsoft Power BI or comparable business intelligence/reporting tools
- Advanced proficiency across the Microsoft 365 suite: Word, Excel, PowerPoint, Outlook, and Teams
- Exceptional interpersonal and communication skills — both written and verbal
- Skilled presentation with a customer-first attitude
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- High attention to detail and accuracy in all tasks
Preferred
- Experience in a manufacturing, wholesale, or B2B environment
- Salesforce Administrator certification or equivalent training
- Familiarity with Power Automate or other workflow automation tools
- Post-secondary education in Business Administration or a related field
