About the Role
We’re looking for an Administrative Bookkeeper to be the organizational backbone of our office. Reporting to the Director of Finance and working closely with the broader team, you’ll own the day-to-day bookkeeping and keep the administrative side of the business running smoothly so the rest of the team can stay focused on what they do best.
This is a long-term, stable role on a small team with big ambitions. We’re looking for someone who is hyper-organized, tech-savvy, and genuinely enjoys bringing order to a busy environment — a self-starter who can spot what needs to be done and just do it.
What You’ll Do
Accounts Receivable
- Maintain and update customer information.
- Issue weekly invoices to match shipments.
- Monitor AR aging and follow up on overdue accounts promptly.
- Prepare weekly and monthly AR reports.
Accounts Payable
- Maintain and update vendor information.
- Enter invoices into the system accurately and on time.
- Ensure all bills are paid by their due dates.
- Prepare weekly and monthly AP reports.
Payroll
- Sort employee punch tickets and enter pay data into Payworks.
- Track holiday and vacation pay.
- Maintain employee records and process pay-related requests.
Cash Management
- Prepare and deposit cheques.
Office Administration
- Build and maintain a clear filing system for company records.
- Open, sort, and respond to incoming mail.
- Track office supplies and reorder as needed.
- Coordinate maintenance and service vendors.
- Answer phones, greet visitors, and respond to customer service emails.
- Coordinate meetings, scanning, printing, and contact list upkeep.
- Take on other administrative tasks as they come up.
What You Bring
- Bookkeeping certification.
- 5+ years of bookkeeping experience.
- Proficiency with QuickBooks (Desktop and Online preferred).
- Robust working knowledge of Microsoft Excel, Word, and PowerPoint.
- A natural inclination for technology and the confidence to troubleshoot independently.
- Exceptional organization and attention to detail.
- Resourcefulness and sound judgment under pressure in a fast-paced environment.
- A self-starter mindset — you take ownership and follow through without needing close supervision.
