Position: Project Coordinator

Salary: $60,000 to $70,000 + Annual Performance Based Bonus

Position Responsibilities and Duties

Project Administration and Coordination:

- · Support the Development Lead, Real Estate Acquisition Specialist, Property Management team, and senior leadership with day-to-day coordination of active real estate, renovation, construction, and property improvement projects.
- · Maintain project files, schedules, trackers, correspondence, approvals, consultant deliverables, contractor documentation, and internal status records in an organized and audit-ready manner.
- · Prepare meeting agendas, record clear minutes, circulate follow-up notes, and maintain action item logs with assigned owners, due dates, and completion status.
- · Coordinate project communication between internal departments, consultants, contractors, vendors, property staff, municipalities, lenders, and other external stakeholders.

Real Estate Development and Construction Support:

- · Assist with tracking project milestones from acquisition, due diligence, feasibility, planning, permit submission, construction coordination, closeout, and handover to property operations.
- · Maintain permit, planning, municipal approval, zoning, site plan, consent, and development condition trackers, including submission dates, comments, resubmissions, lapse dates, and outstanding requirements.
- · Track consultant deliverables including architectural drawings, engineering reports, civil, structural, environmental, geotechnical, acoustic, planning, and other technical submissions.
- · Coordinate tender invitations, bidder lists, addenda, quotations, site visit schedules, trade comparisons, and scope clarification items for review by the appropriate lead.

Property Management and Operations Support:





- · Support property management with coordination of repairs, maintenance, renovations, capital improvement projects, vendor follow-ups, tenant-related service requests, and building operational needs.
- · Track maintenance work orders, contractor site attendance, deficiency lists, repair timelines, completion photos, invoices, and sign-off requirements.
- · Coordinate vendor and contractor documentation, including quotes, service agreements, insurance certificates, WSIB clearances, schedules, and completion records.
- · Assist with maintaining property files, inspection records, tenant notices, lease-related support documents, compliance records, and operational reports as required.

Budget, Invoice, and Documentation Control:

- · Log, verify, and track consultant, contractor, vendor, and property-related invoices against approved quotes, contracts, purchase approvals, budgets, and supporting documentation.
- · Maintain Budget vs. Committed vs. Actual vs. Variance trackers for active projects and flag discrepancies, missing documentation, cost increases, or approval gaps before processing.
- · Assist with construction draw packages, lender documentation, holdback records, statutory declarations, insurance certificates, WSIB records, and percentage-complete backup where applicable.
- · Maintain structured digital folders with consistent naming conventions, version control, approval records, and complete backup to support internal review, lender requests, and audit readiness.

Reporting, Follow-Up, and Compliance:

- · Prepare weekly project and property status summaries outlining key updates, upcoming deadlines, outstanding approvals, budget concerns, risks, action items, and required management decisions.
- · Follow up with internal team members, consultants, vendors, trades, municipal contacts, and property stakeholders to ensure deadlines are met and outstanding items are resolved.
- · Support compliance with company policies, approval processes, documentation standards, health and safety expectations, and applicable project or property-related requirements.
- · Complete other related project coordination, property administration, reporting, and operational support tasks as assigned.

Qualifications and Requirements:

- · This candidate demonstrates strong organizational skills and can maintain accurate, audit-ready project files, schedules, trackers, approvals, and documentation.
- · This candidate can coordinate effectively with leadership, internal departments, consultants, contractors, vendors, municipalities, lenders, and property stakeholders.
- · This candidate has experience supporting real estate development, construction, renovation, property maintenance, and capital improvement projects from planning through completion.
- · This candidate can track project budgets, invoices, contracts, approvals, milestones, risks, deficiencies, and outstanding action items with strong attention to detail.
- · This candidate is proactive in preparing status reports, following up on deadlines, resolving outstanding items, and supporting compliance with company policies and documentation standards.
- · Post-secondary education in Business Administration, Real Estate, Construction Management, Project Management, Urban Planning, Property Management, or a related field is preferred.
- · Minimum 2 to 4 years of experience in project coordination, real estate development, construction administration, property management, facilities coordination, or a related business environment.
- · Working knowledge of real estate, property operations, construction documentation, municipal approvals, permits, vendor coordination, and project tracking processes is required.




- · Strong proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint; advanced Excel skills are considered an asset.
- · Experience using project management or tracking platforms such as ClickUp, Airtable, Microsoft Planner, Smartsheet, or similar systems is preferred.
- · Excellent written and verbal communication skills with the ability to prepare professional correspondence, meeting minutes, reports, trackers, and follow-up communications.
- · Strong organizational skills, attention to detail, follow-through, and the ability to manage multiple deadlines, competing priorities, and active files at the same time.
- · Ability to work independently, take initiative, escalate concerns appropriately, and maintain confidentiality when handling business, financial, project, tenant, or property-related information.
- · Valid Ontario “G” Driver’s Licence and access to a reliable vehicle are required, as travel to properties, project sites, municipal offices, and vendor locations may be required.

- · Technical Proficiency, must type a min of 50 words/minute and advanced in excel with MS Word, MS PowerPoint and MS Excel, Outlook, Google Chrome, etc.
- · Have an understanding of the Employment and Workplace Safety Act
- · Must own a vehicle and have full access at all times
- · Mandatory attendance at Company Annual Events

Preferred Assets:

- · Experience supporting real estate acquisitions, due diligence, development approvals, renovation projects, property operations, or multi-property portfolios.
- · Familiarity with Ontario Building Code basics, municipal permit processes, site plan approvals, consent applications, development charges, and construction draw documentation.
- · Exposure to construction law concepts, lien holdbacks, WSIB clearance certificates, insurance requirements, contractor compliance, and project closeout documentation.
- · Project Management, Property Management, Real Estate, Construction Administration, Health and Safety, or related certification is considered an asset.

Work Schedule and Conditions:

- · Monday to Friday: 9:00 a.m. to 5:30 p.m.
- · This is a full-time, in-office position. Work remotely: No.
- · Flexibility may be required for early mornings, evenings, weekends, site visits, inspections, urgent property matters, contractor coordination, municipal deadlines, or project timelines.
- · Travel within Ontario may be required to attend properties, project sites, vendor meetings, municipal offices, inspections, and company-related events.
