The administrative support role is 15 hours per week in office and includes, but is not limited to, the following responsibilities:

1. Bulletin Preparation

- Prepare, format, and print/copy bulletins for all church services, including regular worship, special celebrations, and seasonal events.
- Ensure all bulletins are correct, visually appealing, and have up-to-date announcements, liturgical content, and schedules.
- Coordinate with ministers and relevant teams to gather required content and proofread bulletins prior to distribution.

2. Presentation Materials

- Create and format PowerPoint slides to support worship services, sermons, and church meetings.
- Develop and update ‘Easy Worship’ materials, ensuring seamless integration with service flow and audio-visual requirements.
- Liaise with ministers and music/worship teams to obtain content and ensure presentations are complete and accurate ahead of each service.

3. Newsletter Management

- Draft, edit, and distribute the weekly church newsletter, featuring announcements, upcoming events, and community news.
- Collect contributions from staff and congregation members, ensuring all content is relevant and appropriate.
- Distribute newsletters via email and, where necessary, provide printed copies for those without digital access.

4. Communication Management

- Monitor, respond to, and direct incoming voicemail messages, ensuring timely and appropriate follow-up.
- Manage the main church email account: respond to enquiries, route messages to appropriate staff, and maintain records of correspondence. All in a timely manner.
- Collect, sort,



and distribute incoming postal mail and prepare outgoing mail as needed.
- Share events at St Mark’s with other churches and vice versa as requested.

5. Digital Presence

- Update the church’s Facebook page and website regularly with bulletins, service information, and live stream/YouTube links.
- Post timely updates regarding events, announcements, and service changes to maintain community engagement.
- Ensure all digital content aligns with church values, privacy standards, and branding guidelines.

6. Congregation Correspondence

- Send bulletins, newsletters, annual reports, and other important documents to the congregation by email, post, or in-person distribution.
- Maintain up-to-date mailing and email lists to ensure all members receive timely communication.
- Support special correspondence needs, such as invitations, thank you notes, and event reminders.

7. Stakeholder Support

- Facilitate communication among staff, visitors, congregation members, board members and community by managing contact lists and distributing information as needed.
- Serve as a point of contact for visitors, providing information and a welcoming presence. Assist in scheduling meetings and coordinating logistics for the board, committees, and other groups.

8. Ministerial Support

- Provide administrative assistance as requested by ministry staff-can be up to 6 hours per week.

9. other administrative duties as determined from time to time.

Pay: $17.95 per hour
