Job Summary
The Project Assistant is a member of the Workforce WindsorEssex Community Engagement Project team and supports delivery of the federally funded Migrant Worker Support Program (MWSP), which supports migrant workers across Windsor-Essex, Chatham-Kent, and Sarnia-Lambton. Working primarily from the Workforce WindsorEssex office in Windsor and reporting to the Senior Director of Strategic Partnerships, the Project Assistant will support project deliverables through administrative tasks, document and report preparation, social media support, outreach, and community engagement activities that may occasionally require travel across the region. This work is delivered through a collaborative network of project partners and community organizations working together to support migrant workers across the region.
The Project Assistant will act in the best interest of the organization, maintain professional standards, be organized, responsive and reliable, contribute to strong working relationships with project partners, and help strengthen relationships with migrant workers based on mutual respect and trust.
Essential Duties and Responsibilities
The Project Assistant will act within the bounds of law and organizational policies and be responsible for:
1. Working with the Project team to ensure the successful undertaking of all job duties, responsibilities, and work assignments.
2. Supporting the successful completion of all project deliverables and reporting as outlined in funding Agreements, including:
- Supporting the monitoring, tracking, and reporting of project partners;
- Supporting the collection and inputting of survey data;
- Coordinating project partners and community partner meetings;
- Monitoring and triaging incoming project communication across all channels including email, phone, text, and social media channels.
3. Supporting community and project partner outreach and engagement, including:
- Planning virtual and in-person meetings, securing space, preparing agendas, minutes, presentations, and operating audio-visual equipment;
- Supporting outreach activities such as workshops, information sessions, and events caried out by the project team and project partners;
- Supporting the development of shareable content, including photos, videos, success stories, and website posts that highlight Project work;
- Organizing, supporting, and attending events to support team and project partners, that may include helping to set up, operating, and taking down booths; packing resource kits for distribution to attendees; distributing and collecting surveys; and engaging with attendees;
- Organizing partner and community feedback.
4. Assisting in various initiatives including:
- Tracking and updating project calendar including project deadlines, upcoming events, and other relevant information;
- Creating and maintaining partner contact lists;
- Supporting the collection, analysis, and visual presentation of data and information for presentation slides, reports, and other resources;
- Performing administrative and clerical support duties, including:
5. Performing clerical duties such as word processing, maintaining systems, and photocopying;
- Taking meeting minutes as required;
- Handling requests for information and data and assisting in resolving issues within the organization;
- Responding to internal inquiries and maintaining good relations.
6. Supporting occasional in-office visitor and communication needs, including:
- Providing occasional, professional assistance to visitors connected to project activities and directing them to appropriate staff or resources;
- Monitoring and directing incoming calls or messages related to project activities to the appropriate staff member or resource;
- Assisting with occasional project-related administrative duties as assigned.
7. Supporting broader organizational needs and priorities by:
- Promoting and maintaining the goals, strategic objectives, vision, mission, and policies of Workforce WindsorEssex;
- Representing Workforce WindsorEssex on various local, provincial, and federal committees and working groups, sharing project data, information, results, resources, and products to a diverse range of audiences;
- Developing partnerships within the community to develop and promote opportunities;
- Supporting the discovery, development, submission, and execution of existing and new grants that align with Workforce WindsorEssex's mission;
- Maintaining a high level of commitment to professional growth and development in support of the organization’s priorities;
- Adhering to excellent password management practices and being vigilant for suspicious email and other online scams;
- Maintaining files and records.
8. Performing other duties as required.
Minimum Qualifications:
- Post-secondary diploma or degree from a college or university;
- Minimum two years of relevant work experience in project support, administration, community engagement, outreach, or related work;
- Ability to occasionally work evenings and weekends, as required;
- Excellent written and verbal communication skills;
- Comfortable collecting, organizing, and communicating data;
- Strong attention to detail in all areas of work;
- Excellent time management skills and ability to meet deadlines;
- Comfortable preparing and delivering presentations virtually and in person;
- Strong logical thinking and problem-solving skills;
- Good organizational skills, including the ability to prioritize tasks effectively;
- Proficient in Microsoft 365 applications, including Excel, Outlook, Word, PowerPoint, and Teams;
- Familiar with Google Forms, Google Sheets, Microsoft SharePoint, OneDrive, and shared platforms;
- Ability to interpret and follow company policies and procedures;
- High level of personal integrity, ethics, accountability, and dependability;
- Able to work efficiently as part of a team and independently;
- Valid driver’s licence and access to reliable transportation are required for occasional work-related travel throughout Windsor-Essex, Sarnia-Lambton, and Chatham-Kent. Pre-approved travel expenses will be reimbursed in accordance with organizational policy.
Preferred Qualifications:
- Conversational ability in Spanish is preferred;
- Conversational ability in Thai or Tagalog is considered an asset;
- Experience with community outreach, events, or community engagement;
- Experience providing administrative support, responding to inquiries, and delivering professional service in an office or community setting;
- Experience working with diverse communities is an asset;
- Experience serving as a professional point of contact for visitors, callers, partners, or community members in an office or community setting is preferred.
Total Compensation:
Direct Pay: The Project Assistant position offers an hourly pay rate ranging from $20.03 to $25.28 This translates to an estimated annual salary of $39,058.50 to $49,296.00, based on a standard workweek of 37.5 hours for 52 weeks per year.
The actual salary paid will be adjusted based on the number of workdays and paid working hours during the contract period, from the start date to the end date.

Job Details:
Position Location: The candidate must reside within the Windsor-Essex area or be willing to relocate at their own expense. Any costs associated with commuting or relocation will not be reimbursed. Workforce WindsorEssex has a hybrid work environment that provides flexibility to work from home depending on project needs and team feedback, and the successful candidate should be adaptable to changes.
