A New Wave of Health Care is Coming

Wave Health is a multidisciplinary health clinic opening Q4 2026 on Calgary's iconic 4th Street in Mission. We offer integrated, expert-led care that feels as current and considered as the people it serves — occupying the space between premium healthcare and modern wellness, without compromising on either.

We're assembling a team of contemporary practitioners across various disciplines — chiropractic, physiotherapy, massage therapy, psychology, naturopathic medicine, acupuncture, osteopathy, athletic therapy. The Office Manager is the person who makes all of it run. This is our first administrative hire, and the systems you build will be the ones the clinic operates on for years.

The Prospect

- Build the operational backbone of a brand-recent clinic from a blank page — intake, scheduling, billing, and patient flow are yours to help design, not inherit
- Own the patient experience end to end, in a space purpose-built to feel calm, considered, and genuinely welcoming from the front door in
- Work directly with the clinic owner on the decisions that shape how the business runs
- A modern tech stack built around Jane — online booking, charting, and direct billing handled cleanly, so your time goes to people rather than paperwork
- Room to grow into leading a front desk team as the clinic and the roster expand

The Role

- Front of house — greeting patients, managing calls and inquiries, intake and consent paperwork, payments and receipts, and setting the tone for every visit




- Scheduling — booking and coordinating across nine disciplines, managing cancellations, waitlists, and no-shows, and keeping practitioner calendars and room allocation running cleanly
- Billing and claims — direct billing through TELUS eClaims, Sun Life, Alberta Blue Cross, plus MVA claims, including reporting deadlines, rejections, and outstanding receivables
- Practitioner support — onboarding new practitioners onto clinic systems, and maintaining current records of college registration, professional liability insurance, association memberships, and agreement renewal dates
- Clinic operations — supplies and inventory, vendor and building coordination, equipment maintenance, and health and safety requirements
- Reporting — regular reporting to the owner on bookings, revenue, utilization, and anything that needs attention before it becomes a problem

Who You Are

- Experienced in clinic, medical office, or practice administration — ideally 3+ years in an allied health setting such as physiotherapy or chiropractic
- Fluent in practice management software, with hands-on Jane experience strongly preferred
- Confident with Alberta insurance billing — TELUS eClaims, Alberta Blue Cross, Sun Life,



and MVA/Section B claims
- Exceptionally organized, with the judgment to hold a lot of moving pieces and still catch the detail that matters
- Warm and steady with patients, practitioners, and vendors alike — approachable, polished, and human
- Comfortable with ambiguity: you'd rather build the process than wait for one to be handed to you
- Discreet with confidential health information, with a working understanding of Alberta's Health Information Act
- Energized by higher standards in healthcare and excited to help shape a new clinic with your ideas from day one
