About the Company

We are seeking a proactive and detail-oriented Fleet Operations & Compliance Coordinator to join our growing Logistics team. This role is responsible for the day-to-day coordination, compliance, maintenance, and operational readiness of our transportation fleet, consisting of approximately 50 to 60 trailers and 5 company vehicles.

The successful candidate will ensure our fleet remains safe, compliant, well-maintained, and operational while working closely with drivers, maintenance providers, insurance companies, and internal departments.

Key ResponsibilitiesFleet Operations

- Monitor and maintain accurate records for all trailers and company vehicles.
- Track trailer contents to ensure visibility, inventory accuracy, and equipment availability.
- Perform regular yard inspections to verify equipment location, condition, security, and operational readiness.
- Coordinate trailer and vehicle scheduling to minimize operational downtime.

Fleet Compliance

- Monitor and maintain fleet licensing, permits, inspections, renewals, and regulatory compliance.
- Ensure all fleet documentation is accurate, complete, and audit-ready.
- Maintain master records for trucks, trailers, and drivers within the Samsara platform.

Temperature & Refrigeration Monitoring

- Monitor and document trailer temperature readings.
- Investigate and report temperature irregularities.
- Coordinate maintenance and repairs for refrigeration units when required.

Fleet Maintenance

- Coordinate preventive and corrective maintenance for trailers, company vehicles, refrigeration units, and related equipment.
- Schedule repairs with vendors and maintenance providers.
- Track maintenance history, equipment downtime, and service completion.

Telematics & Technology

- Monitor Samsara devices installed across the fleet.
- Verify GPS connectivity and device functionality.




- Troubleshoot telematics issues and coordinate repairs with vendors.
- Maintain accurate telematics records and fleet data.

Fuel Management

- Monitor fuel levels for vehicles, trailers, and refrigeration units.
- Coordinate refueling when required.
- Order, maintain, track, and distribute driver fuel cards.

Incident & Insurance Management

- Act as the primary point of contact for fleet accidents and incidents.
- Coordinate incident reporting and documentation.
- Work directly with insurance providers from claim initiation through resolution.
- Maintain complete accident and incident records.

Driver & Safety Support

- Support the recruitment team by assisting with driver onboarding and qualification verification.
- Assist with transportation safety and compliance initiatives.
- Prepare operational reports and fleet performance updates for management.
- Participate in an on-call rotation to respond to emergency fleet situations when required.

QualificationsRequired

- Minimum 3 years of experience in fleet operations, transportation, logistics, fleet coordination, or a related field.
- Experience coordinating commercial trailers, fleet maintenance, compliance, and transportation operations.
- Strong understanding of commercial vehicle and trailer maintenance requirements.
- Experience working with fleet management or telematics platforms such as Samsara, Geotab, Fleet Complete, or similar systems.
- Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
- Strong organizational, analytical, and problem-solving skills.
- Excellent verbal and written communication skills.




- Ability to prioritize multiple tasks in a fast-paced environment.
- Ability to work independently while collaborating effectively with cross-functional teams.

Preferred Qualifications

- Experience in refrigerated transportation or food distribution.
- Knowledge of Ontario transportation regulations and fleet compliance requirements.
- Experience coordinating vendors, repair facilities, and maintenance providers.
- Experience managing insurance claims and accident reporting.
- Valid Ontario Class G Driver's Licence with a clean driving record.

Working Conditions

- Combination of office administration and outdoor yard inspections.
- Regular walking throughout the trailer yard in varying weather conditions.
- Frequent communication with drivers, vendors, maintenance providers, and internal departments.
- Ability to respond to urgent operational issues outside regular business hours when required.
- Occasional lifting of up to 25 lbs may be required.

Pay: From $58,000.00 per year

Ability to commute/relocate:

- Georgetown, ON: reliably commute or plan to relocate before starting work (required)

Experience:

- Fleet maintenance scheduling: 1 year (preferred)
- DOT/CVOR compliance: 1 year (preferred)
