Shipping and Receiving Coordinator - Production

Report to: Plant Manager

Job Summary

The Shipping and Receiving Coordinator is responsible for coordinating, verifying, documenting, and maintaining accurate records of all incoming and outgoing materials and finished goods. This position ensures shipments are prepared, received, inspected, documented, and distributed accurately and efficiently.

The role works closely with Production, Purchasing, Quality, and other departments to support daily operations and ensure all shipping and receiving activities meet VRE quality, safety, and customer service standards.

Key Responsibilities

· Contact carriers and obtain freight quotations to determine the most appropriate and cost-effective shipping method.

· Arrange carrier pickups by phone, email, or online shipping systems.

· Prepare all required shipping documentation, including bills of lading, packing slips, customs documentation, and other applicable paperwork.

· Coordinate with Production, Purchasing, Quality, and other departments to confirm shipping requirements and ensure orders are ready for shipment.

· Ensure all products are properly packaged, tagged, labelled, and secured for transportation.

· Prepare products for shipment using appropriate packaging and shipping materials to prevent damage during transit.

· Ensure required accessories, labels, tags, documentation, and small parts are included with each shipment.

· Inspect finished goods prior to shipment to confirm quantity, condition, identification, and packaging requirements.

· Coordinate the loading of products into shipping crates, trucks, or other transportation equipment.

· Maintain accurate shipping records and supporting documentation.

Receiving

· Receive drivers, carriers, and deliveries and provide clear instructions regarding unloading and receiving procedures.

· Verify incoming shipments against bills of landing, packing slips, purchase orders, and other supporting documentation.

· Count and inspect all incoming materials and products for quantity, condition, damage, and accuracy.

· Record shortages, damages, or discrepancies on the applicable bill of lading, packing slip, and purchase order.

· Notify Purchasing and other appropriate departments immediately of shortages, damages, incorrect materials, or other discrepancies.

· Complete Non-Conformance Reports as required and move damaged, rejected, or non-conforming materials to the designated QC Return area.





· Receive goods into the applicable computer system and accurately update or close purchase orders.

· Confirm purchase order discrepancies or shortages with Purchasing before final closure when required.

· Distribute incoming materials to the appropriate department or storage location using a forklift, material-handling equipment, or manual handling as appropriate.

· Ensure materials received without proper identification or part numbers are correctly identified and tagged.

· Create labels for new, special, or previously non-stocked items as required.

Inventory and Warehouse Support

· Perform physical inventory counts and cycle counts as directed.

· Maintain an adequate inventory of shipping materials, packaging supplies, labels, and related items.

· Support accurate material identification and inventory control throughout the shipping and receiving areas.

· Maintain a clean, safe, organized, and efficient work area.

· Assist with warehouse organization and continuous improvement initiatives where required.

Quality and Compliance

· Follow all applicable quality control procedures and documentation requirements.

· Ensure shipping and receiving activities comply with VRE Standard Operating Procedures and established quality standards.

· Identify and report non-conforming products, damaged materials, or process issues promptly.

· Complete required records and documentation accurately and in a timely manner.

· Maintain the highest quality standards with customer requirements in mind.

Health and Safety

· Perform all work in compliance with company Health and Safety policies, WHMIS requirements, and applicable regulations.

· Wear and maintain required Personal Protective Equipment (PPE).

· safely operate forklifts and other authorized material-handling equipment.

· Report unsafe conditions, damaged equipment, hazards, incidents, and near misses in accordance with company procedures.

· Maintain safe material storage, handling, loading, and unloading practices.

General Responsibilities

· Complete assigned tasks accurately, efficiently, and within required timelines.

· Communicate effectively with team members, delivery drivers, customers, suppliers, carriers, and all levels of management.

· Work collaboratively with other team members and departments to support production and operational requirements.

· Assist other VRE departments as requested and as operational needs require.

· Demonstrate professionalism, accountability, and ownership of assigned responsibilities.

· Follow all company policies, procedures, and workplace standards.





· Perform other related duties as assigned.

· Duties and responsibilities may be amended from time to time to support changing business and operational requirements.

Qualifications and Job Requirements

· Minimum of three years of warehouse shipping and receiving experience, preferably in a manufacturing or production environment.

· Experience coordinating truckload (TL), less-than-truckload (LTL), container load (CL), and less-than-container-load (LCL) shipments.

· Experience using FedEx, Purolator, and other carrier shipping systems.

· Strong computer skills, including Microsoft Office. Experience with JobBOSS and SAP is considered an asset.

· Strong mathematical skills and the ability to accurately calculate quantities, dimensions, weights, and measurements.

· Strong understanding of both Imperial and Metric Measurement systems.

· Knowledge of warehouse organization, material flow, inventory control, and shipping and receiving processes.

· Ability to read, understand, and follow VRE Shipping Work Orders and related production documentation.

· Strong written and verbal communication skills.

· Ability to communicate with team members, delivery drivers, customers, suppliers, and management in a tactful, professional, and respectful manner.

· Strong organizational skills with the ability to prioritize work and manage competing demands.

· Ability to work effectively in a fast-paced, dynamic, and changing production environment.

· Strong attention to detail and commitment to accuracy.

· Demonstrated problem-solving skills and resourcefulness.

Work Conditions and Physical Requirements

· Ability to lift and carry loads of up to 50 lbs. without mechanical assistance.

· Regular periods of standing, walking, bending, reaching, lifting, and material handling.

· Periods of sitting while completing computer-based shipping, receiving, and administrative tasks.

· Regular interaction with team members, drivers, carriers, customers, suppliers, and all levels of management.

· Work in a loud, busy production and warehouse environment with frequent interruptions.

· Exposure to varying temperatures and environmental conditions associated with warehouse and shipping areas.

· Ability and willingness to work occasional overtime based on operational requirements.

· Monday-Friday 7am-4pm

Transportation/Travel Information

· We are in Grassie, ON, near Grimsby, however public transportation does NOT come to our location, requiring employees to have their own transportation.

Job Types: Full-time, Permanent

Pay: $28.00-$33.00 per hour
