Overview
We are seeking a detail-oriented and client-focused Immigration Caseworker to manage immigration files end-to-end and support clients through temporary and permanent residence processes. This role is ideal for someone who thrives in a fast-paced environment, is highly organized, and can manage multiple files with accuracy and professionalism.
Key Responsibilities
File & Case Management
- Manage immigration files from intake to final decision (multiple streams)
- Maintain accurate case notes, timelines, and document trackers
- Monitor deadlines and ensure timely follow-ups and submissions
- Organize and maintain digital/physical files using internal SOPs
Client Coordination
- Conduct client intake and collect background information
- Provide clear document checklists and guidance on required evidence
- Follow up on missing documents and clarify client information
- Provide regular file status updates (as per authorized scope)
Application Preparation
- Assist in preparing and assembling complete application packages
- Review forms and supporting documents for accuracy and consistency
- Draft supporting letters (e.g., submission letters, explanation letters, SOP support)
- Ensure supporting evidence aligns with program requirements and timelines
Compliance & Quality Control
- Perform pre-submission quality checks to reduce errors/refusals
- Ensure confidentiality, privacy, and ethical handling of client information
- Flag risks, gaps, or inconsistencies early and escalate as required
Systems & Portals
- Upload, track, and manage submissions through relevant government portals
- Maintain CRM/case management system updates and reporting
- Track confirmations, acknowledgements (AOR), and document requests
Preferred Experience (Any of the Following)
- Study permits, work permits (LMIA/LMIA-exempt), visitor visas/super visas
- Express Entry, PNP streams, family sponsorship, PR applications
- Procedural fairness responses, reconsideration requests (asset)
- Refugee/H&C; exposure (asset)
Qualifications & Requirements
- Diploma/degree in a related field (Immigration, Law, Paralegal, Business, or similar) OR equivalent experience (preferred)
- 1–3 years experience in an immigration consultancy or legal workplace (preferred)
- Strong understanding of immigration documentation and workflows
- Excellent English communication (written and verbal)
- Strong attention to detail and ability to manage multiple deadlines
Technical Skills
- Proficient in Microsoft Office / Google Workspace
- Comfortable with PDF editing, document assembly, and file version control
- Experience with CRM/case management systems is an asset
- Familiarity with government portals and online submissions is preferred
