Job Description

The Mainland BC Military Family Resource Centre (MFRC) is a non-profit organization supporting Canadian Armed Forces and Veteran families across Mainland BC. We are a small team hiring an Administrative & Client Care Coordinator — the central hub of our office and the first point of contact for the families we serve.

About the role

Your week blends three kinds of work: front desk and client care (about 55%) — answering phones, greeting families, connecting them to the right programs, and keeping our office, records, and database current; executive and board support (about 25%) — managing the Executive Director's calendar, preparing agendas and minutes, tracking follow-ups, and supporting board meetings and our AGM; and financial administration (about 20%) — receipts, vendor payments, bank deposits, donation tracking, and thank-you letters.

What we're looking for

- Post-secondary certificate or diploma in office/business administration, or equivalent experience
- 2+ years of administrative, executive assistant, or office coordination experience
- Experience in a client-facing, front-desk, or customer service role
- Strong Microsoft 365 skills; quick to adopt new digital and productivity tools
- A self-starter who anticipates needs, manages their own priorities, and meets deadlines
- Reliable and discreet with confidential information
- Valid BC driver's licence, clean driver's abstract, and reliable transportation (mileage reimbursed)




- Able to provide a explicit criminal record check (vulnerable sector) and pass Enhanced Reliability screening
- Assets: basic bookkeeping, CRM/client database experience, bilingualism (English/French), familiarity with military or Veteran family life — military spouses encouraged to apply

Pay and benefits

$31.50/hour to start, rising to $32.50 after a successful three months and $33.50 after six. Extended health, dental, and Long-Term Disability after three months, plus vacation and paid sick leave. Monday–Friday schedule, closed all statutory holidays; occasional evening/weekend events are scheduled in lieu of daytime hours. Free on-site parking and gym.
