Nature of Position The Administrative Assistant provides basic administrative support to help the Partner Assault Response Program (PARS) run smoothly.
This is a fixed‑term position from September 1, 2026 to August 31, 2027, inclusive. The employment relationship will end automatically on the contract end date, with no expectation of renewal unless confirmed in writing. The role is time‑limited and contingent on program funding, and does not constitute ongoing or permanent employment with KFS.
Key Responsibilities
Duties include
Administrative & Program Support
-Help with scheduling, reminders, data entry, filing, and document preparation
-Prepare and organize forms, attendance records, program materials, and other documents
–Support participant registration and routine follow-up communication
Keep files and administrative records organized and confidential
Participant Communication
-Communicate with participants in a respectful and professional way
-Use chosen names, pronouns, and family or relationship terms accurately
-Share questions or concerns with the appropriate program staff
-Follow program direction when responding to routine participant inquiries
Documentation, Scheduling & Team Support
-Help prepare session materials and participant communications
-Enter information accurately and maintain confidential records
-Assist with scheduling, room bookings, attendance tracking, filing, and reporting support
Supervision and Escalation
-Bring urgent, complex, or sensitive concerns to a supervisor or program staff right away.
Confidentiality, Boundaries & Ethical Practice
-Maintain confidentiality and protect participant privacy
-Follow organizational policies and procedures
-Stay within the administrative assistant role and ask for guidance when needed
-Treat participants and staff with respect
Qualifications
Education & Experience
-Office administration, business administration, community services, or related training is an asset
-3-5 years administrative or customer service experience
-Experience with scheduling, data entry, filing, and document preparation is an asset
-Experience in a community, social services, counselling, legal, or health setting is an asset
Knowledge & Skills
-Good organizational and time-management skills
-Explicit written and verbal communication skills
-Attention to detail and ability to enter information accurately
-Ability to handle confidential information carefully
-Comfort using email, calendars, word processing, and basic office systems
-Ability to work with direction and as part of a team
Additional Assets
-Training in privacy, confidentiality, records management, or trauma-informed practice
-Knowledge of local community resources
-Additional language skills
Work Conditions
-Fixed-term position, 12 hours per week; hours scheduled according to program needs
-May include daytime, evening, or occasional weekend hours
-Work includes basic administrative support, participant communication, scheduling, data entry, and filing
Requirements
-Satisfactory completion of a Vulnerable Sector Criminal Record Check
-Ability to maintain confidentiality and comply with organizational policies, procedures, and ethical standards
-Eligibility to work in Canada
Pay: $25.00 per hour
Work Location: In person
