Role / Title: Administrative Assistant / Receptionist
Department: Operations / Administration
Reports To: Principal + Director of Finance
Employment Type: Full-time in office, permanent — 37.5 hours per week
Location: 939 E Hastings St, Vancouver
KRA is seeking a proactive, organized, and detail-oriented Office Administrative Assistant/Receptionist to support the firm’s day-to-day administrative and operational functions. This role is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in delivering exceptional service while helping keep the office running smoothly.
As a key member of the administrative team, you will provide front-line support to clients, consultants, and staff, contributing across reception, office administration, technology coordination, and Leadership Team support.
Reception / Front Desk
– Welcome clients, consultants, vendors, and visitors in a qualified and friendly manner.
– Answer and direct incoming calls and respond to general inquiries.
– Manage incoming and outgoing mail, courier bookings, and deliveries.
– Assist with large-format printing and scanning requests.
– Maintain a clean, organized, and welcoming reception area.
– Open and close the office each day.
Office Administration
– Prepare reports, presentations, correspondence, and other documents using Microsoft Office.
– Manage shared email inboxes and voicemail, routing inquiries as appropriate.
– Order and maintain office, kitchen, printing and stationary supplies.
– Maintain internal records, contact lists, vendor information, and software accounts.
– Coordinate meetings, catering, Lunch & Learns, professional development sessions, and equipment maintenance.
– Ensure kitchens and common areas remain stocked and organized.
– Serve as the primary contact for building management and office vendors, including cleaning, security, and HVAC maintenance.
– Support office health and safety initiatives.
– Assist with administrative projects and provide general support to staff across all levels.
– Coordinate office events, including staff meetings, site visits, retreats, and social events in partnership with the Social Committee and Marketing.
– Arrange travel bookings for project-related site visits, conferences, and retreats.
– Provide calendar support to Principals as needed.
– Coordinate onboarding and offboarding logistics, including workspace setup, office access, and IT coordination.
IT Technology & Coordination
– Act as the primary liaison with external IT service providers, coordinating support requests and system upgrades.
– Provide basic in-office technical support and troubleshooting.
– Manage hardware inventory, including laptops, workstations, and peripherals.
– Coordinate the procurement, setup, maintenance, and replacement of hardware and software.
– Track software licenses, warranties, and renewal schedules.
– Support technology onboarding and offboarding, including equipment provisioning, account setup, and access removal.
What You Bring
Education & Experience
– Post-secondary education in Business, Office Administration, or a related field is an asset.
– 5+ years of administrative experience in a professional office environment.
– Experience in a professional services, architecture, engineering, or consulting firm is considered an asset.
Skills & Attributes
– Advanced proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
– Experience with Adobe Creative Suite and Bluebeam is an asset.
– Excellent verbal and written communication skills.
– Strong organizational skills with the ability to manage multiple priorities.
– Highly detail-oriented with a proactive, solutions-focused approach.
– Able to work independently while contributing effectively as part of a collaborative team.
– Strong customer service skills with a professional and approachable demeanor.
