Job Profile
This position reports to the Manager of Recreation and Culture (Older Adult Services, Community Development, The Cambridge Farmers’ Market, Arts and Culture) as well as taking direction from the Supervisor of Older Adult Services and Community Development. The administrative service representative role will provide positive and professional administrative support to the Farmers’ Market, Older Adult Services, Community Development and Arts and Culture operations ensuring good customer service for internal and external customers and assisting others in the service areas under their portfolio.
What you will be doing
- Provides positive and professional administrative support i.e Payroll entry via cityONE, P.O Creation, Journal Entry’s, Invoice payment support, processing claims, creation of permits and some facility support
- Works daily with expected or legislated deadlines
- Ensures positive and qualified customer service for internal and external customers
- Monitoring and editing of current web content
- Research and analysis of data primarily using excel and Activenet Reports i.e. monthly statistics
- Reviews and processes claims, invoices, journal entries, permits etc.
- Records management for the division
- Scheduling and coordinating meetings (including minute taking), room bookings & events (could include evenings)
- Creation and distribution of materials
- Ensures financial requirements are adhered to
- Responsible for formatting/entry of applicable divisional Policies and Procedures
- Supports other ASRs within the division and project managers on divisional projects
- Assists with applicable Ministry organizations to facilitate annual grant applications submissions & reporting etc.
- Responsible for the routine checks of facility attributes (i.e. AED devices, first aid box etc.)
- Responsible for emergency procedures at the Allan Reuter Centre including acting as chief warden
- Performs other related duties as assigned
Education
- 2-year post-secondary education studies in Business Administration, Office Management, or relevant studies.
- Standard First Aid and CPR Certificate
Experience and Knowledge
- At least six (6) months of experience in a related field.
- Knowledgeable and proficient in the use of all manner of technologies and computer applications including (but not limited to ) Activenet, GoldCare, Microsoft Office (Word, Excel, PowerPoint, Outlook, Publisher), Internet, records management system, web content editor (iCreate), SharePoint, GIS (OnPoint), POS, Maximo, CLASS, cityONE, AMANDA, Accessible document software.

Your compensation
This position is within Grade 5 of the inside workers union Salary Schedule and has an hourly salary range of $33.72 to $35.84.
Hours of work
The current hours of work are in accordance with the Inside Worker’s Collective Agreement and may be scheduled between Monday to Sunday, seven (7) hours per day, for a total of thirty-five (35) hours per week.
