Job Summary

As a member of the Business Systems team, you will be responsible for the configuration, maintenance, and evolution of our Atlassian suite of products (currently Jira Premium, Confluence, Jira Service Management, Rovo, and Bitbucket). You will also play a key role in driving AI-assisted productivity through Atlassian Rovo, leading Jira workflow standardization initiatives, and establishing Confluence content governance practices. You are a self-learner passionate about getting the most out of systems through user adoption and alignment with business processes.

As an Atlassian Systems Administrator you will be expected to:

Core Administration

- Administer Atlassian products including Jira, Confluence, Bitbucket at the system level (not just project level) and apps such as Xray and ScriptRunner.
- Administer, configure, and support projects, spaces, permissions, users, roles, reporting, dashboards, custom fields, issue security, via scripting, add-ons, and the REST API.
- Create and manage users, groups, projects, and user permissions.
- Create Jira projects, JQL queries, filters, dashboards, and reports as required.
- Troubleshoot access and/or performance issues, engaging Atlassian and/or app vendor support when necessary.
- Understand system architecture of upstream and downstream impacts when implementing solutions.
- Research, test, and implement new Atlassian products and apps.

Rovo Administration & AI Enablement

- Administer and configure Atlassian Rovo, including connected data sources, search connectors, and indexing settings to maximize enterprise knowledge discovery.
- Define and manage Rovo Agents — building, testing, and deploying custom AI agents tailored to team-specific workflows (e.g., support triage, onboarding assistance, status reporting).
- Monitor Rovo adoption metrics, gather user feedback, and iterate on agent configurations and connected source coverage to improve relevance and accuracy.
- Establish governance policies for Rovo usage, including data source permissions, content visibility rules, and responsible AI guidelines.
- Train and support end users on leveraging Rovo for search, summarization, and workflow automation across Jira, Confluence, and connected third-party tools.
- Stay current on Rovo feature releases and capabilities, evaluating recent functionality for organizational benefit.

Jira Workflow Standardization & Refactoring

- Lead the audit and rationalization of existing Jira workflows, identifying redundancies, inconsistencies, and opportunities for consolidation across projects and teams.
- Design and implement standardized workflow templates, validators, post functions, and transition rules aligned with organizational best practices.
- Refactor legacy project configurations including field configurations, screen schemes, permission schemes, and notification schemes to reduce complexity and improve maintainability.
- Collaborate with project managers and team leads to map current processes, define target-state workflows, and manage migration with minimal disruption.
- Document standardized workflow patterns and create governance guidelines to prevent configuration drift over time.

Confluence Content Governance & Clean-Up

- Lead Confluence content clean-up initiatives — identifying stale, duplicate, or orphaned pages and coordinating archival or removal with content owners.
- Define and implement content lifecycle processes and procedures to keep information current, accurate, and discoverable (e.g., review cadences, ownership assignments, expiration policies).
- Establish space structure standards, page templates, and labeling conventions to improve navigation and searchability.
- Create and maintain content governance documentation including roles, responsibilities, escalation paths, and compliance checkpoints.
- Work with teams to embed content hygiene practices into day-to-day workflows, leveraging automation rules and Rovo-assisted discovery to surface outdated content.

Continuous Improvement & Stakeholder Engagement

- Serve as a subject matter expert for the Atlassian suite of tools, keep abreast of new features and functionality, and promote best practices for the usage of Atlassian tools.
- Analyze, review, and document current functionality to determine potential areas of improvement.
- Interact with Project Managers, Managers,

Developers, Infrastructure Engineers, Practice Teams, and Stakeholders to gather requirements and provide recommendations for improvements.
- Create and maintain documentation on processes, policies, application configuration, and help-related materials for users.

Skills and Qualifications

- University degree in Management of Information Systems (MIS), IT, or equivalent.
- 3–5 years' experience as a Jira and Confluence Administrator with experience customizing Jira projects with various schemas, complex workflows, screen schemes, permission schemes, and notification schemes required.
- Ability to write custom JQL (Jira Query Language).
- Experience with one or more of these Atlassian products: Jira Software, Confluence, Jira Advanced Roadmaps, Jira Service Management, Jira Work Management, Bitbucket, Xray, Atlas, Compass, Discovery.
- Hands-on experience using Jira REST APIs for integration with other tools like Jenkins, and Integration/Automation frameworks, an asset.
- Experience with AI-assisted productivity tools (Atlassian Rovo or similar enterprise AI/search platforms) is an asset.
- Demonstrated experience in workflow rationalization, process standardization, or system consolidation projects.
- Familiarity with content management best practices, information architecture, or knowledge management frameworks is an asset.
- Bilingual, written and spoken (French and English).
