About ASK The Arbutus Shaughnessy Kerrisdale (ASK) Friendship Society is a non-profit organization dedicated to enriching the lives of older adults through programs and services that promote independence, social connection, health, and well-being. For over 50 years, ASK has provided inclusive, culturally responsive services that help seniors remain active, engaged, and connected within their community.
We are seeking a highly organized, detail-oriented Bookkeeper to oversee the day-to-day financial operations of the organization. The successful candidate will be responsible for full-cycle bookkeeping and financial administration, ensuring accuracy, compliance, and timely reporting while supporting multiple funding agreements and organizational programs.
Position Summary The Bookkeeper is responsible for maintaining the organization's financial records and performing full-cycle bookkeeping functions. This includes accounts payable, accounts receivable, payroll, banking, reconciliations, government remittances, grant reporting support, and financial record management. The Bookkeeper works closely with the Executive Director, external accountant, auditor, funding agencies, and banking partners.
The ideal candidate is proactive, highly accurate, and experienced in non-profit accounting and QuickBooks Online.
Key Responsibilities
Financial Management
- Maintain accurate financial records using QuickBooks Online.
- Record all financial transactions in accordance with Canadian accounting standards.
- Prepare journal entries and maintain the general ledger.
- Reconcile bank accounts, credit cards, and investment accounts.
- Monitor organizational cash flow.
- Prepare monthly financial reports for management.
- Assist in preparing annual budgets and forecasts.
- Support year-end audit preparation and respond to auditor requests.
Accounts Payable
- Process vendor invoices accurately and promptly.
- Prepare electronic payments, EFTs, cheques, and online bill payments.
- Maintain vendor records.
- Reconcile supplier statements.
- Ensure appropriate approvals are obtained prior to payment.
- Monitor outstanding invoices and payment schedules.
Accounts Receivable
- Prepare and issue invoices.
- Record incoming payments.
- Follow up on overdue accounts.
- Reconcile customer balances.
- Process donations and maintain donation records as required.
Payroll Administration
- Process bi-weekly payroll accurately and on time.
- Maintain employee payroll records.
- Calculate vacation pay, statutory holiday pay, overtime, and other payroll adjustments.
- Process benefit deductions and RRSP contributions.
- Prepare Records of Employment (ROEs).
- Maintain confidentiality of employee payroll information.
Government Reporting & Compliance
Prepare and submit
- Payroll source deductions (CRA)
- GST filings
- WorkSafeBC reporting and payments
- Employer Health Tax reporting (where applicable)
- T4s and T4 Summaries
- T4As
- CRA remittances
- Annual charitable reporting support
- Other required provincial and federal reporting
Ensure compliance with all CRA, BC Employment Standards, WorkSafeBC, and other regulatory requirements. Banking & Cash Management
- Complete bank deposits.
- Process electronic fund transfers
- Manage online banking transactions
- Reconcile banking activity at regular intervals
- Maintain petty cash records
- Assist with cash flow planning
Grant & Program Financial Support
- Track expenditures by program and funding source.
- Assist with financial reports for grant applications and reporting.
- Monitor grant budgets.
- Prepare financial information required by funding agencies.
- Maintain supporting documentation for grant audits.
Administration
- Maintain organized electronic and paper financial records.
- Assist with developing and documenting financial procedures.
- Support insurance renewals by providing financial information.
- Maintain fixed asset records.
- Coordinate with external accountant and auditor.
- Provide financial information to the Executive Director and Board as requested.
Qualifications
Education
- Diploma or Certificate in Accounting, Bookkeeping, Finance, or related field.
- Payroll Compliance Practitioner (PCP) designation is considered an asset.
Experience
- Minimum 3–5 years of full-cycle bookkeeping experience.
- Experience in a non-profit organization is strongly preferred.
- Experience managing multiple funding sources and grant reporting is an asset.
- Experience preparing information for annual audits.
Required Skills
- Expert proficiency in QuickBooks Online.
- Strong knowledge of Canadian bookkeeping principles.
- Solid understanding of payroll legislation.
- Knowledge of CRA remittance requirements.
- Experience with online banking platforms.
- Excellent Microsoft Excel skills.
- High level of accuracy and attention to detail.
- Strong organizational and time management skills.
- Ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Ability to maintain strict confidentiality.

Working Conditions
- 30 Hours per Week
- Monday to Friday
- Occasional evening or weekend work may be required during audit periods or fiscal year-end.
- Office-based with opportunities for limited flexibility as approved by the Executive Director.
