Okotoks Toyota is looking for a motivated individual with automotive experience to join our team! The selected candidate will report to the Service Manager and a few highlighted responsibilities would be handling outbound/inbound calls, customer satisfaction outreach, and identifying/securing recent opportunities.

Appointment Coordinator / BDC Representative(s) plays a vital role in assisting customers with scheduling maintenance and repairs for their vehicles. We are seeking a customer-focused professional who is passionate about building strong relationships and delivering outstanding service.

Key Responsibilities:

- Schedule and confirm service appointments via phone, email, and online booking systems
- Communicate with customers to understand their service needs and provide accurate information
- Offer clear estimates on service times and costs
- Independently address and resolve customer concerns with professionalism, patience, and empathy
- Make a minimum of 50 outbound calls per day
- Conduct appointment reminders and follow-up calls
- Stay informed about new vehicle recalls and notify customers as necessary
- Maintain a high level of organization, self-motivation, and attention to detail in a fast-paced environment
- Safely operate company vehicles, including shuttling customers when needed




- Assist with administrative tasks and support the service team as required

Qualifications & Skills:

- Strong teamwork and interpersonal skills with a positive, customer-first approach
- Excellent active listening and communication abilities
- Problem-solving skills with keen attention to detail
- Ability to work efficiently in a fast-paced, energetic environment
- Proficiency in computer systems and a solid understanding of technology
- Experience with PBS software is considered an asset
- Prior experience in the automotive industry or a car dealership is preferred
- Must have a clean and valid driver's license
