Reporting to the Associate Dean, Dental and Animal Clinical Services, the Clinic Operations Coordinator provides operational and administrative support for NAIT's on-campus dental clinic which is an accredited facility necessary to program delivery. This role coordinates daily clinical activities in conjunction with academic programming, supports patient bookings and records, ensures compliance with institutional policies and external regulatory requirements.

This position involves higher complexity and may include supervisory duties. Complexity arises from coordinating larger groups and addressing problems that require creative solutions.

People in this role act as a key link between their department and other internal and external work units, planning and aligning activities involving numerous people or components to achieve defined outcomes. They integrate information from multiple sources, provide clarification and guidance on processes, policies, and procedures, and monitor the progress of related activities.

People in this role serve as a central source of information and may act as spokespersons for coordinated initiatives. Responsibilities are carried out primarily through influence and, at times, formal authority. Alongside coordination duties, the role includes administrative and communication functions and is typically part of the department’s leadership team.

Key Responsibilities Clinic Operations

- Coordinate daily clinic activities to ensure smooth operations and compliance with NAIT policies, health/safety, and dental regulations.
- Liaise with internal departments to support operational needs.




- Assist with patient booking systems, clinic records, and data management.
- Monitor patient flow and assist with maintaining required clientele for academic program delivery, with assistance from the Associate Dean.
- Prepare purchase orders, verify invoices, track consumables; reconcile routine operational expenses and escalate variances for review/approval by the Associate Dean.

Leadership
- Coordinate daily work assignments and schedules for Ed Tech/IA teams to ensure clinic and academic operations.
- Provide leadership, coaching and mentoring.
- Develop and implement team management strategies and process improvement.

Administration and Client Outreach
- Maintain clinic compliance documentation (accreditation, safety, privacy) and assist with clinic rentals and logistics.
- Serve as a first point of contact for routine client inquiries; triage and document concerns; coordinate resolutions with program and/or school leadership while maintaining confidentiality and professionalism.

Skills & Abilities

- Knowledge of dental specific content and subject matter.
- Understanding of dental clinic workflows, accreditation requirements, and infection control protocols.
- Familiarity with clinic booking and record systems.
- Strong organizational and time management skills.
- Strong oral and written communication.
- Proficiency with administrative systems and Microsoft Office.
- Knowledge of applicable software used within the department.
- Knowledge of relevant department, NAIT, and external policies, guidelines, and procedures.
- Knowledge of applicable legislation.
- Knowledge of supervisory methods and techniques.
- Good understanding of general accounting processes.
- Good understanding of facilitation methods and techniques.
- Understanding of general office administration procedures.
- Ability to initiate, develop, and maintain professional relationships.
- Ability to communicate clearly and effectively, both verbally and in writing.
- Ability to manage and allocate resources efficiently.

Qualifications

- Diploma in a related dental health profession.




- 5 years of administrative/operational support experience in a clinic or educational setting.
- Experience in clinical accreditation, educational programming, and/or large-scale dental operations is an asset.
- Cross-functional dental experience through multiple disciplines, areas, or programs of study
- Knowledge of the Privacy and OHS legislation and requirements is an asset.
- Equivalencies to be considered.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES). Classification – Coordinator II This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement. Remuneration: Refer to salary range noted on this posting, plus a comprehensive benefits package.

The compensation range for this job posting is : $74,019.38 - $99,540.46
