The Role: This position plays a pivotal role in delivering comprehensive administrative support to the Community Impact team. Acting as the primary point of contact, it addresses general inquiries from community organizations with professionalism and efficiency.

Additionally, the role encompasses vital administrative functions related to the Grants Management system, ensuring smooth payment operations, meticulous file management, and effective information management. Furthermore, it involves coordinating and supporting various events and projects, contributing to the team’s overall success and mission.

Core Areas of Responsibility:

External Grantee Support (Customer Service)

- Comprehensive knowledge about all responsive grant programs offered through the Grants Management System
- Serve as the lead staff member responding to general inquiries from community organizations, including specific grant-related requests
- Serve as the team's central contact for community organizations, grantees, and applicants following initial reception intake, providing accurate, timely, and qualified responses to inquiries. Triage and coordinate incoming requests, redirecting stakeholders to the appropriate team members and ensuring timely follow-up and resolution
- Build and maintain positive relationships with community partners and external stakeholders, ensuring a supportive and responsive experience throughout the grant lifecycle.
- Monitor and respond to inquiries received through phone, email, and the Grants Management System within established service standards.
- Identify and resolve stakeholder concerns, escalating complex issues to the appropriate team members when required.




- Provide guidance and support to applicants navigating the grant application process, ensuring equitable access to information and resources.
- Gather and communicate stakeholder feedback to help improve service delivery, processes, and user experience.
- Ability to prioritize and triage enquiries from external stakeholders
- Obtain financial direct deposit information from grantee organizations
- Grants Management System (GMS) Administrative Support
- Support the opening and closing of grant application cycles (e.g., Community Grants, Children and Youth Grants, Major Capital Grants) within the GMS platform, ensuring applications are accessible to organizations on specified dates.
- Submit tickets for technical issues and fixes in the GMS and support the remediation of the ticket.
- Support in compiling system and business requirements to improve grant program workflows and processes
- Ensure records and activities in the Grants Management System are organized, and contacts are up to date
- Provide file management support including assigning Reviewers to grant files in the system
- Update grant-specific correspondence templates in the GMS

Operational Support

- Provide administrative support to the Community Impact Department
- Prepare materials for the Community meetings and agenda
- Support critical records management functions by ensuring grantee records are accurate and current
- Act as backup for the updating of the TWF shared calendar on SharePoint
- Ensure all team records are well-organized, easily accessible, and that contact information is accurate
- Compile and retrieve reports from the database as requested
- Coordinate special assignments as requested
- Assume other duties as may be assigned.

- Diploma in office administration or related field
- 3-5 years of experience working in an administrative role, ideally in a non-profit environment , with a customer service background

- First In-person interview – September 8 & 9, 2026

- Start date: October 1, 2026
