About the Role: Reporting to the Manager, Strategic Initiatives, the Customer Service Coordinator, Communications provides front-line customer service and communications support with a resident- and customer-first approach. This role supports timely, respectful and accessible service by responding to inquiries, helping residents and customers navigate Town services, and connecting individuals with the appropriate staff or information. The position also provides a variety of divisional supports including, but not limited to, communications with members of the public, business owners and municipal staff; inventory and distribution of promotional materials; website content creation and maintenance; communications plan execution; special event planning and administrative duties.

As a first point of contact for individuals seeking information or services in person, by phone, by email or online, this position plays an significant role in strengthening the Town’s front-line customer service experience and contributes as a member of the dedicated Customer Service Team.

Key Responsibilities:

- Provide courteous and professional front-line customer service and participates on a rotational basis as a member of the Town’s Customer Service Team, providing front counter and telephone support to the public, following standard operating procedures and efficiently referring inquiries to the appropriate departmental contacts for more specialized support.
- Deliver positive, effective customer service excellence by responding to phone, email, online, or in-person requests (front counter) and any other public inquiries.
- Represent the Town as the first point of contact for public inquiries in a variety of formats (phone, email,



in-person/front counter or online).
- Assist with the delivery of departmental communications ranging from various social media platforms and the Town website(s)
- Review distribution of a variety of materials available for customers and suggest improvements based on customer needs whenever possible.
- Maintain and update content on the Town’s website and ensure a consistent brand image adhering to the Town’s brand guidelines managed by the communications personnel.
- Develop positive, professional working relationships with Town staff, elected officials, and external partners.
- Promote the Town’s corporate messaging to both internal and external clients, partners, the business community and residents.
- Support the coordination and execution of departmental print and digital materials, including press releases, radio, brochures, flyers, presentations and reports, posters, signs and advertising, and ensure conformity to corporate brand standards.
- Monitor analytics for the effectiveness of public relations, media and social media strategies and provide recommendations to improve progress and effectiveness.
- Assist all staff with adherence to communication best practices and corporate identity guidelines.
- Support the preparation and issuance of social media posts about current departmental and organizational activities on the Town’s social media sites.
- Create compelling and engaging digital content.
- Review daily mainstream, community and social media reports, and identify and assess opportunities and issues of importance to the corporation.
- Observe social media platforms and tools on an ongoing basis and make recommendations to leverage technologies to enhance municipal communications.
- Assist with the design and updating of marketing materials as required using appropriate software.
- Support project managers with various aspects of project communication, including research, coordinating sponsorships, communicating with key stakeholders, coordinating radio and print advertising, and assisting with the development and implementation of marketing plans, etc.
- Monitor, capture, filter and organize information and data in databases to ensure strategic and valuable information is available as needed.
- Collect primary and secondary data pertaining to the Town’s economy.
- Support departmental needs related to tracking and coding accounts receivable, accounts payable and invoicing.
- Update departmental applications, standard templates and fee schedules.
- Regularly participates in professional development activities to keep abreast of current industry trends.
- Assists in the maintenance of a positive team setting by working co-operatively with other employees, using the appropriate processes for handling problems, helping to motivate and encourage peers, contributing ideas, and assisting others where necessary.
- Promotes a high standard of customer service to the public as well as to all internal customers.
- Performs other duties as assigned.

Competencies and skills you bring to the role:

- Requires skills in graphic design, digital photography, and editing.
- Requires working knowledge of various software programs including but not limited to Microsoft Word, PowerPoint, Publishing,



Adobe Photoshop/Illustrator and website content management software.
- Ability to administer websites and corporate communications using a variety of media, preferably in municipal government. • Excellent analytical, planning, organizing, conflict management skills with the ability to perform duties independently.
- Demonstrates excellent judgement and initiative.
- Strong communication skills and knowledge of internal/external communications/marketing initiatives.
- Proven ability to apply a high degree of mature judgement and discretion in dealing with matters of a highly sensitive and confidential nature with an ability to maintain composure in stressful situations.
- Proficiency in all aspects of social media.
- Strong verbal and written communication, networking and interpersonal skills.
- Thorough working knowledge of Microsoft Office and computer programs used in communications, research and the monitoring of current events and issues.
- Ability to meet deadlines and manage projects.

Education, Experience and Knowledge:

- Requires a post-secondary diploma or degree in business administration, communications, public relations, or finance
- A minimum of one (1) to two (2) years’ work experience of related work experience
- Experience in computer graphics and creating print and digital promotional materials, including producing camera-ready artwork and working with printers and design agencies.
- Requires good knowledge of applicable legislation, standard practices and guidelines, including the municipal Freedom of Information and Protection of Privacy Act, Accessibility for Ontarians with Disabilities Act (AODA) requirements and guidelines for creating compliant communications, etc.
- Requires an understanding of the business of municipal government, including the municipal relationship with upper tier municipalities, the province and the federal government.
- Requires a valid Class “G” Driver’s license, and in good standing.
- Experience with public and media relations is considered an asset.
- Knowledge of the local area and community leaders is an asset.
