Position summary The Executive and Office Assistant is a high-trust organizational partner who strengthens VantagePoint Centre by supporting the CEO and Board, coordinating day-to-day office and financial administration. The role works under the CEO's direction in service of VPC's Christian mission and organizational priorities. Executive support relates to the CEO's responsibilities at VPC.

Key responsibilities

1. Executive and Board support - 30%

- Manage the CEO's calendar, priorities, meeting preparation, reminders, and follow-up commitments.
- Draft, proofread, format, and distribute correspondence, reports, presentations, agendas, minutes, and briefing materials.
- Coordinate Board and committee logistics; maintain approved governance records and action items, and protect sensitive executive, Board, client, donor, personnel, and organizational information.

1. Office and administrative coordination - 35%

- Serve as a skilled first point of contact by responding to and directing telephone, email, mail, and in-person inquiries.
- Maintain organized digital and paper records
- Coordinate shared calendars, room and facility bookings, supplies, service providers, and routine office needs.

1. Financial administration - 10%

- Monitor approved operating, project, and event budgets; maintain current tracking records and promptly flag potential variances.
- Organize, code, and submit invoices, receipts, reimbursements, deposits, and supporting documentation for approval and bookkeeping.

1. Donor, communications, and event support - 15%

- Coordinate donor meetings, including scheduling,



briefing materials, hospitality, records, action items, and follow-up.
- Support approved donor, church, and event communications and records; refer fundraising strategy, gift commitments, media inquiries, contracts, and public statements to the CEO.

1. Process improvement and digital tools - 10%

- Document administrative processes and recommend, test, and maintain approved low-risk tools, templates, and automations with human review, privacy safeguards, and recovery steps.
- Coordinate with qualified specialists when integrations, security, or automation needs exceed the role's expertise or authority.

Christian faith and mission

- Participate in staff prayer, devotions, and other expressions of VPC’s Christian community life.
- Help ensure VPC’s correspondence, events, public-facing materials, and stakeholder relationships reflect its Christian mission and values with integrity, compassion, humility, and respect.

What you bring

- A committed Christian who can sincerely affirm and uphold VPC’s Statement of Faith, mission, and organizational values. VPC considers this a bona fide occupational requirement for the role.




- At least four years of progressively responsible executive or senior administrative support experience, including confidential work and complex follow-through.
- Post-secondary education in office administration, business, nonprofit management, communications, or a related field, or equivalent education and experience.
- Strong proficiency with Microsoft 365, spreadsheets, shared file systems, collaboration platforms, and modern productivity tools, plus basic financial administration skills.
- Excellent written and verbal communication, organization, proofreading, judgment, discretion, service orientation, and the ability to manage competing priorities independently.

Assets

- Experience in a nonprofit, charity, social-service, faith-based, church, or community organization; Board support, bookkeeping, donor or CRM systems, events, communications, or process improvement are assets.

Work environment

- Primarily office-based in Leamington, Ontario, with regular computer, telephone, document, visitor, and meeting work.
- Occasional evening or weekend support and local travel may be required for Board meetings, prayer meetings, donor meetings, organizational events, and other time-sensitive needs.
