KingsRidge Building Group is a design-build construction company serving York Region and surrounding areas. We specialize in custom homes, luxury renovations, additions, and outdoor living projects.

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to join our growing team. This is a key support role working closely with leadership and our team to keep day-to-day operations organized, clients followed up with, and important details from slipping through the cracks.

The ideal candidate is someone who takes ownership, communicates exceptionally well, is highly organized, and naturally stays one step ahead. You don’t need to be a construction expert — but you do need to be comfortable learning, asking questions, following through, and getting things done.

The Role

This is a varied position where no two days will necessarily look the same. You will support leadership and the broader KingsRidge team across administration, client communication, scheduling, CRM management, follow-ups, and general business operations.

You will be trusted with important information and responsibilities, so discretion, accuracy, reliability, and diligence are essential.

Key Responsibilities

Client & Communication

- Answer and manage incoming phone calls and inquiries
- Respond to emails and client communications in a professional and timely manner
- Speak with prospective clients and help qualify incoming leads
- Follow up with prospective clients and existing customers
- Schedule consultations, meetings, site visits, and appointments
- Maintain a professional and welcoming first point of contact for KingsRidge

CRM & Sales Administration

- Maintain and update the company’s CRM
- Enter new leads and client information accurately
- Track follow-ups and ensure prospective clients don’t fall through the cracks




- Keep client records and project information organized and up to date
- Assist with sales and estimating administration
- Prepare and organize information for client meetings

Administrative & Operations Support

- Manage calendars and scheduling
- Coordinate meetings and appointments
- Prepare, organize, and send contracts and other documentation
- Perform spreadsheet and data entry
- Organize digital files and company documents
- Assist with invoicing, purchase orders, and other administrative tasks as required
- Help coordinate internal team meetings and follow-ups
- Take notes and track action items when required
- Assist leadership with various personal and business-related tasks

General Executive Support

- Help keep leadership organized and on schedule
- Anticipate upcoming needs and deadlines
- Follow up on outstanding tasks and commitments
- Research and organize information when requested
- Handle confidential information with professionalism and discretion

- Adaptable — comfortable wearing different hats and jumping between tasks
- Discreet and trustworthy — able to handle confidential business and personal information appropriately
- Team-oriented — willing to support others and contribute to a positive team environment

Qualifications & Experience

- 2+ years of experience in an administrative, executive assistant, office coordinator, customer service, sales administration, or similar role preferred
- Strong written and verbal communication skills
- Excellent organizational and time-management skills
- Strong attention to detail
- Comfortable using Microsoft Office / Google Workspace, spreadsheets, email, and calendars
- Experience with CRM software is an asset
- Construction, real estate, architecture, design, or professional services experience is an asset but not required
- Valid driver’s license is an asset

Pay: $30.00-$35.00 per hour
