Reporting to the Manager of Step Up Step Down, the Food Service Coordinator (FSC) is responsible for planning and providing nutritious meals that support the health and well-being of youth in the live-in mental health treatment setting. The role oversees menu development, food purchasing, kitchen operations, and food safety compliance while contributing to an inclusive, therapeutic, and culturally responsive environment that meets individual dietary needs.
RESPONSABILITIES:
· Menu Planning o Develop appealing rotating, seasonal menus that meet Canada’s Food Guide standards, therapeutic dietary requirements, and the cultural and personal preferences of youth.
o Collaborate with clinical and residential staff to ensure menus align with individual care plans and promote nutritional wellness.
o Adjust menus to accommodate food allergies, intolerances, and religious or cultural dietary practices.
o Maintain up-to-date records of menus, including costing, and ensure accessibility for staff and youth.
o Assist with the development of recipe standardization to ensure variety and nutritional value.
· Food Preparation Duties o Develop and follow a prepared menu to plan and execute daily meals and snacks for residents, ensuring nutritional guidelines and individual dietary needs are met (e.g., allergies, textures, cultural or religious preferences).
o Prepare ingredients in advance (e.g., chopping vegetables, marinating proteins, portioning snacks) to support efficient meal production by all staff.
o Cook meals during scheduled kitchen shifts, ensuring proper food handling, temperature control, and presentation.
o Label and store prepped items (e.g., “ready to cook,” “thaw overnight”) to support other staff preparing meals when kitchen staff are off-duty.
o Maintain a clean, sanitary, and organized kitchen, including cleaning surfaces, dishes, and equipment after use.
o Monitor and rotate food stock using first-in, first-out (FIFO) method to minimize waste; report low inventory or expired items to the Manager.
o Ensure all food is safely stored and dated, including leftovers and partially used ingredients.
o Adhere to public health and safety regulations, infection prevention and control practices, and internal food service policies.
· Food Purchasing Responsibilities o Menu-Based Forecasting & Planning
- Review prepared menus to determine required ingredients and quantities.
- Calculate ingredient quantities based on meal counts and portion sizes.
- Plan purchasing schedules to align with menu cycles and minimize waste.
o Sourcing & Procurement
- Identify reliable vendors and suppliers for food products.
- Obtain quotes and compare pricing, quality, and delivery terms.
- Place food orders in accordance with purchasing guidelines and budget limits.
- Ensure orders meet any dietary, nutritional, or food safety standards (e.g., allergen-free, Halal, local/organic preferences).
o Inventory Management
- Monitor current inventory and avoid overstocking or shortages.
- Coordinate with kitchen staff to track ingredient usage.
- Rotate stock according to FIFO (First In, First Out) principles to minimize spoilage.
o Budget Support
- Monitor food purchasing expenses and provide updates to the Operations Manager.
- Follow established budget guidelines to support cost-effective purchasing while maintaining food quality and quantity.
- Suggest cost-saving opportunities, such as bulk purchases or seasonal substitutions, for approval by the Operations Manager.
o Vendor Relations & Delivery Coordination
- Maintain relationships with suppliers to ensure timely delivery and product quality.
- Resolve issues related to delivery discrepancies, spoiled goods, or backorders.
o Documentation & Compliance
- Maintain accurate records of purchases, invoices, and inventory.
- Ensure compliance with food safety standards and procurement policies as per organization and public health.
- Assist with audits or inspections related to food storage and purchasing practices.
o Communication & Collaboration
- Coordinate with kitchen/food prep staff to align tasks with operational needs.
- Adjust purchasing based on menu changes, special dietary requests, or unexpected changes in meal counts.
· General Food Services Responsibilities o Deliver safe use of kitchen equipment orientation to all staff who participate in kitchen duties. o Ensure all food be labeled and dated when stored in the refrigerator, freezer, or pantry.
o Ensure that thermometers all refrigerators and freezers and checked and that temperatures are recorded four (4) times per day.
o Ensure all food service equipment and small wares are maintained in good working condition, coordinating routine maintenance, emergency repairs, and replacements as needed, in alignment with the approved food services budget.
o Monitoring, identification and notification procedures for food recall alerts.
QUALIFICATIONS:
· Diploma in Food and Nutrition Management, Culinary Arts, or equivalent combination of education and experience.
· Current Safe Food Handler Certification required.
· Minimum 2 years’ experience in food service planning and preparation, ideally in a residential or institutional setting.
· Experience menu planning for special diets (e.g., allergies, vegetarian, Halal) and youth preferences.
· Proficiency working in a computerized environment, including Microsoft Office applications (Word and Excel).
· Demonstrated ability to maintain strict confidentiality and handle sensitive information with professionalism and discretion.
· Demonstrated ability to assess priorities, analyse and solve problems
· Strong organisational skills and ability to meet deadlines
· Ability to develop a thorough understanding of the Agency's programs, services, organizational structure, and operations.
· Ability to work collaboratively with other experienced professionals including school boards, colleagues of other health and social service agencies, local politicians, etc.
· Demonstrated ability to work independently and to make sound judgements.
· Knowledge of approaches that promote health equity, including anti-oppressive and anti-racist practice, 2SLGBTQIA+ inclusion, community engagement, cultural safety, trauma-informed care, harm reduction, and human rights and accessibility frameworks.
· Excellent oral and written communication skills in English is required.
