Description The Faculty of Graduate Studies is currently seeking a Full-time Temporary Relief Graduate Applications Administrator for approximately 12 months.
The Admissions
Team in the Faculty of Graduate Studies provides centralized application review services for both domestic and international applications to graduate programs.
The Graduate Applications
Administrator reports to the Manager, Graduate Admissions and will play a critical role in the initial assessment of the applications. High standards in quality are necessary as errors directly affect applicants, students, the academic unit, and the reputation of the University of Calgary. Productive time management is critical to ensure all deadlines are met and to ensure the efficient completion of work responsibilities related to the position.
There is a very high volume of work with many interruptions, and it is imperative that the Graduate Applications Administrator can work well in a team-based environment. In accordance with policies and standards established by the University, the Graduate Applications Administrator will perform administrative tasks and checks to support application processing. The position responds to prospective and applicant inquiries through email.
This will require flexibility, especially at times of high volume and demand during peak periods. Strong communication skills are critical to ensure that accurate and responsive information is provided to avoid misunderstandings or difficult encounters. Discretion must be exercised, and good judgment followed.
Summary of Key Responsibilities (job functions include but are not limited to): Supports Admissions Process (60%) Maintains up-to-date knowledge of calendar admission criteria for graduate programs and a thorough understanding of the University of Calgary website and where to find information. Performs initial review of incoming applications using general graduate studies application criteria, including minimum education requirements, checking institution accreditation status and identification checks. Matches and updates receipt and status of application documents in PeopleSoft system.
Performs GPA calculations and checks GPAs self-calculated by the applicant. Triages applications for follow up by another team member or the graduate program staff. Performs ongoing maintenance of applications and escalates complex issues for follow up by senior staff.
Scans and indexes documents into appropriate student files. Advising and Customer Service (40%) Triage incoming emails for follow up by team members. Provides accurate and timely information to prospective students and applicants by email on application processes, deadlines, and required documents.
Monitors service levels and wait times and identifies when demand exceeds pre-established service thresholds. Communicates common themes in questions and concerns received through email.
Qualifications / Requirements: Bachelor's degree in a related field and/or a certificate or diploma in administration is required. 1-2 years of experience providing customer service and administrative services in a high-volume environment.
Experience working in student administration and/or admissions, including answering inquiries, processing applications, transcripts, and test scores is strongly preferred. Data entry experience, attention to detail, and the ability to work with accuracy and meet deadlines in a fast-paced, multi-functional environment focused on excellent customer service is required. High level of organization with the ability to manage a heavy volume of work and complete tasks efficiently.
Demonstrated success as a positive, collaborative, and supportive team member. Demonstrated excellence in written and verbal communication skills. The ability to manage one's own workload to minimize stress, maintain wellness and model desired work behavior.
Must be able to manage multiple changing priorities while still maintaining and meeting deadlines. Ability to quickly learn new processes and procedures associated with different technologies and information systems. Intermediate to advanced skills in Microsoft Office required.
Experience with UCalgary Student Information System (PeopleSoft Campus Solutions), and Synergize Electronic Document Management System (EDMS) is a strong asset.
