Housing and Finance Worker Cooks Ferry Indian Band
Position Overview The Housing and Finance worker is responsible for providing administrative, field, and financial support to the Housing Department while also assisting with finance-related tasks connected to housing programs, maintenance, projects, and services for the Cooks Ferry Indian Band community. This full-time, permanent position reports to the Housing Manager and supports coordination with the Finance team as required to keep housing records, payments, invoices, and funding documentation accurate and timely.
Duties and Responsibilities
- Complete tenancy agreements, extensions, and housing maintenance agreements in accordance with community housing practices and procedures.
- Assist with completion of funding applications supporting community housing priorities.
- Welcome members, visitors, and service providers in a respectful and professional manner.
- Answer telephone calls, respond to inquiries, and redirect calls as appropriate.
- Perform general office duties including typing, photocopying, filing, and document editing.
- Maintain housing records, applications, renovation requests, and project files.
- Maintain records of housing maintenance requirements and help prioritize repairs.
- Provide administrative support to the Housing Committee.
- Support implementation of housing policies, by-laws, and procedures.
- Address housing concerns and complaints while maintaining accurate records.
- Prepare work orders and assist with coordinating repairs and housing services.
- Support invoice tracking for housing-related repairs, maintenance,
utilities, contractors, and housing projects.
- Prepare, organize, and submit finance documentation related to housing programs, including purchase orders, invoices, receipts, cheque requisitions, and supporting records.
- Maintain clear records of housing-related payments, tenant charges, arrears, rent collections, deposits, and other financial information as directed.
- Process rent payment in accountable software.
- Assist with budget tracking for housing operations, maintenance, renovations, and capital projects by keeping spreadsheets and filing supporting documents.
- Work with the Finance team to confirm coding, account allocation, payment status, and required approvals for housing-related expenses.
- Support monthly reconciliation of housing-related financial records by identifying missing invoices, receipts, approvals, or documentation.
- Assist with funding and reporting requirements by collecting financial backup, organizing project costs, and helping ensure reports are complete and accurate.
- Maintain confidentiality and accuracy when handling member, tenant, vendor, payroll, and financial information.
- Perform other housing and finance-related duties as assigned.
Formal Qualifications
- Grade 12 graduation or similar experience.
- Proficiency with Microsoft Word, Excel, Outlook, and related software.
- Basic bookkeeping and experience with Sage 50 software.
- Satisfactory criminal record check.
- Valid Class 5 BC Driver’s License.
Role Balance This position is intended to support both Housing and Finance functions, with approximately half of the role focused on housing administration and field coordination, and approximately half focused on finance administration connected to housing programs, projects, vendors, records, and reporting.
