Limbic Media is a Victoria-based technology company that designs and manufactures innovative lighting-control products and interactive lighting systems. Founded in 2006, we combine hardware, software, engineering, and creative design to make sophisticated lighting technology more accessible, responsive, and engaging.
Our commercial division, Aurora, creates large-scale interactive lighting installations for public spaces, architecture, entertainment venues, and cultural attractions. Our systems have been used in permanent installations throughout Canada and the United States, including bridges, tunnels, public artworks, and immersive visitor experiences.
Our prosumer division, MaestroDMX, develops intelligent lighting-control products for DJs, musicians, venues, and event professionals. MaestroDMX uses real-time music analysis to automatically create coordinated lighting shows without requiring a dedicated lighting operator or complex programming. The product is sold directly and through distributors and retailers around the world.
Limbic Media is a growing, export-focused Canadian company with an established operating history and a collaborative, multidisciplinary team. Our work spans product development, manufacturing, international logistics, e-commerce, global distribution, and large-scale commercial projects.
The Role
Limbic Media is seeking a highly organized and detail-oriented Intermediate Accountant and Operations Administrator to join our team.
This is a varied, hands-on role supporting the financial and operational needs of an international product- and project-based business. The successful candidate will be comfortable taking ownership of their responsibilities, managing competing deadlines, improving processes, and working independently within a collaborative team.
The role includes full-cycle accounting, payroll and benefits administration, inventory accounting, and international logistics support.
Key Responsibilities
Bookkeeping and Full-Cycle Accounting
- Perform full-cycle bookkeeping for a multi-currency international business, including CAD, USD, GBP, and EUR transactions.
- Maintain complete and accurate financial records using QuickBooks Online or similar cloud-based accounting software.
- Prepare and post journal entries, accruals, prepayments, payroll entries, inventory adjustments, and foreign-exchange adjustments.
- Complete monthly bank, credit card, payment processor, inventory, and balance-sheet reconciliations.
- Maintain organized supporting documentation for all financial transactions.
Financial Management and Reporting
- Manage bank transfers, accounts payable, accounts receivable, customer deposits, and vendor payments.
- Monitor cash flow, outstanding receivables, payment obligations, and upcoming financial commitments.
- Prepare monthly and annual financial statements and management reports.
- Assist with budgeting, forecasting, and profit-and-loss variance analysis.
- Prepare year-end working papers, reconciliations, schedules, and supporting documentation for the company’s external accountant.
- Coordinate GST/HST, PST, sales tax, VAT, payroll tax, and other filing requirements with external accountants and advisers as required.
Inventory Accounting
- Maintain accurate inventory records across manufacturers, warehouses, fulfilment partners, and sales channels.
- Reconcile inventory between the accounting system, warehouse records, manufacturers, and e-commerce platforms.
- Track product costs, freight, duties, landed costs, inventory adjustments, and cost of goods sold.
- Investigate and resolve inventory discrepancies in coordination with internal staff and external partners.
Process Improvement
- Continuously evaluate accounting and administrative processes and recommend practical improvements.
- Develop and maintain documented procedures, checklists, schedules, and internal controls.
- Improve the accuracy and efficiency of reporting, reconciliations, inventory tracking, and information flow between systems.
Payroll and Benefits Administration
- Process payroll accurately and on schedule, including employee changes, vacation, benefits deductions, reimbursements, taxable benefits, and required remittances.
- Administer employee benefits and maintain accurate payroll and benefits records.
- Respond to routine employee payroll and benefits questions and coordinate with external payroll and benefits providers.
- Maintain payroll schedules, government account access, year-end records, and supporting documentation.
Logistics Support
- Manage inventory records and coordinate product movements between manufacturers and Limbic Media’s network of warehouses and fulfilment partners around the world.
- Arrange and track international shipments and coordinate with manufacturers, freight carriers, couriers, customs brokers,
and warehouse partners.
- Maintain shipping, customs, import, export, and receiving documentation.
- Monitor active shipments, investigate delays or discrepancies, and ensure inventory movements are accurately recorded.
- Assist with freight costs, customs duties, landed-cost records, damaged shipments, claims, and warehouse reconciliations.
Qualifications
- At least three to five years of progressive full-cycle accounting experience.
- Strong understanding of internal controls, account reconciliations, month-end closing, financial reporting, and profit-and-loss variance analysis.
- Experience supporting an international business, including multi-currency transactions, foreign exchange, cross-border payments, and overseas vendors or customers.
- Experience with inventory accounting, landed costs, freight, customs duties, and cost of goods sold.
- Experience working with multiple warehouses, fulfilment partners, manufacturers, or sales channels is an asset.
- Proficiency with QuickBooks Online or similar cloud-based accounting software.
- Strong Excel or Google Sheets skills.
- Experience reconciling information from e-commerce platforms, payment processors, inventory systems, or third-party warehouses is an asset.
- Shopify, inventory-management, payroll, or logistics-platform experience is an asset.
- Excellent organizational and time-management skills.
- Strong attention to detail and the ability to manage competing priorities.
- Strong written and verbal communication skills.
- Ability to work independently, take ownership of responsibilities, and collaborate effectively with internal and external partners.
Education
- Diploma or degree in accounting, finance, business administration, or a related field.
- CPA designation or current enrolment in the CPA program is an asset.
- Equivalent practical accounting experience will be considered.
